Job Overview
We are seeking an experienced, highly organised, and proactive School Office Manager to oversee the daily operations of a busy school office. The ideal candidate will possess strong administrative, financial, and human resources skills, excellent communication abilities, and a proven ability to manage multiple priorities. This role is crucial in ensuring the office runs smoothly and efficiently while providing high-quality support to staff, pupils, parents, and senior leadership.
Responsibilities
- Manage the day-to-day operations of the school office, ensuring a productive and efficient working environment.
- Supervise administrative staff and provide guidance on clerical and office procedures.
- Oversee financial administration, including processing invoices, purchase orders, budget monitoring, petty cash, banking, and maintaining accurate financial records.
- Liaise with the school's finance team, suppliers, and external stakeholders to ensure timely processing of payments and financial documentation.
- Maintain office supplies inventory and place orders as required, ensuring value for money.
- Implement and maintain office policies and procedures to improve efficiency and compliance.
- Communicate effectively with staff, parents, governors, and external agencies via telephone, email, and in person.
- Maintain accurate pupil, staff, and school records while ensuring confidentiality and compliance with data protection requirements.
- Provide administrative support to the Senior Leadership Team as required.
Qualifications
- Proven experience as an Office Manager or in a similar administrative role, ideally within an educational environment.
- Experience managing financial processes, including invoicing, budgeting, purchase orders, reconciliation, and financial record keeping.
- Strong organisational skills with the ability to prioritise tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Demonstrated ability to supervise a team and manage positive working relationships.
- Familiarity with clerical duties such as filing, data entry, and record keeping.
- High level of accuracy and attention to detail, particularly when handling financial information.
- Ability to maintain confidentiality when dealing with sensitive information.
- A proactive approach to problem-solving with strong decision-making capabilities.
- Proficiency in Microsoft Office and experience using financial and school management systems is desirable.
