Job Summary

We are seeking Temporary Business Support cover for a period of absence. This role offers an excellent opportunity for individuals with strong organisational skills to gain valuable exposure in a professional environment. We are open to applicants with experience in similar roles, as well as those who are new to this type of work and are looking to gain experience in this environment. As business support, you’ll be fundamental in ensuring smooth day-to-day operations, keeping on top of all things office, and providing essential support to the team. It is a varied and dynamic role, so adaptability is key.

Responsibilities

Office Management

Oversee the day-to-day running of our HQ, including ordering all office supplies, coordinating office maintenance and testing, and ensuring the workspace remains organised and presentable.
Managing the office phone line and general inbox.
Carrying out weekly and monthly safety tests (fire alarms, emergency lighting etc)
Organising internal events/ socials/ lunches as appropriate
Welcoming visitors and clients into the office and supporting with hosting.
Act as the point of contact for all things office!

Administrative

Provide administrative assistance including booking of hotels, transport and meetings.
Keeping on top of asset, IT and equipment logs (minimal requirement during temp cover)·
Assist project teams with preparing and formatting documentation, reports, and presentations.
Assisting with external event and workshop coordination and organisation (e.g. exhibitions, recruitment fairs, client workshops etc).
Handle incoming and outgoing post, and other general correspondence.
Organising gifting for birthdays/ work anniversaries and other holidays
Support communication with clients and stakeholders.
Purchasing of supplies as required.
Assisting with IT and phone set ups.
Assist with onboarding of any agency/ contract workers.
Ensuring files are accurately maintained and stored within selected folders. Ensuring that general document templates are kept up to date.

Knowledge, Skills, and Attitude

Dynamic and adaptable individual who is keen to get stuck into a variety of tasks.
Great multi-tasking ability.
Excellent verbal and written communication skills.
Organised and detail oriented. Forward thinking and planning is required.
A proactive approach to problem-solving and can-do attitude.
High proficiency across the Microsoft suite.
To be enthusiastic, hardworking, and self-motivated.

Pay: £95.00-£105.00 per day
