Join a Growing Business Making a Difference
Fairway Energy specialises in delivering energy-efficient retrofit solutions for residential and commercial properties across the UK. As demand for our services continues to grow, we're expanding our Business Development team and are looking for an ambitious Bid Coordinator / Junior Bid Writer to help us win more work.
This is an exciting opportunity for someone with previous bid, tender or proposal experience who wants to develop their career within a fast-growing business. Working alongside our experienced Bid Writer, you'll play a key role in increasing both the volume and quality of bids we submit.
If you're organised, enjoy writing, thrive under pressure and want to be part of a company making a positive impact on sustainability, we'd love to hear from you.
The Role
Reporting directly to the Managing Director, you will support the Bid Writer in managing the entire bid process while taking ownership of your own tender submissions.
This is much more than an administration role. You'll be actively involved in researching, writing and producing compelling tender responses, coordinating information from across the business and ensuring every submission is completed accurately and on time.
As your experience develops, you'll manage smaller bids independently, helping Fairway Energy pursue more opportunities and increase our contract win rate.
Key Responsibilities
- Support the Bid Writer throughout the full bid lifecycle, from opportunity identification through to submission.
- Research, write and edit high-quality responses to tender questions, ensuring they are tailored, persuasive and fully compliant.
- Take ownership of smaller tender opportunities and framework submissions from start to finish.
- Monitor procurement portals and frameworks daily for suitable tender opportunities.
- Assist with bid/no-bid assessments and market intelligence.
- Download, review and organise tender documentation.
- Coordinate technical, operational and commercial information from colleagues across the business.
- Maintain bid plans, action trackers and submission programmes to ensure all deadlines are achieved.
- Prepare supporting documentation including company information, policies, case studies, CVs and project references.
- Maintain and continually improve the company's bid library, ensuring responses remain accurate, up to date and aligned with best practice.
- Proofread and format tender submissions to ensure they are professional, consistent and compliant with client requirements.
- Upload completed submissions via procurement portals and client systems.
- Maintain records of submitted tenders, outcomes and lessons learned.
- Attend bid planning meetings, submission reviews and continuous improvement sessions.
- Work collaboratively with the Bid Writer to maximise the number of high-quality bids submitted while maintaining exceptional standards.
About You
We're looking for someone who enjoys both writing and project coordination, has excellent attention to detail and is motivated by delivering winning submissions.
You'll ideally have:
- Previous experience as a Bid Coordinator, Bid Administrator, Bid Writer, Tender Coordinator or Proposal Coordinator.
- Excellent written English with the ability to produce clear, concise and persuasive content.
- Strong proofreading and editing skills.
- Excellent organisational skills with the ability to manage multiple deadlines simultaneously.
- High attention to detail and a methodical approach to work.
- Strong communication skills and confidence working with colleagues across all departments.
- Experience within construction, energy, retrofit, sustainability, facilities management or engineering would be advantageous.
- Good knowledge of Microsoft Office, particularly Word, Excel and PowerPoint.
- Experience using procurement portals and tender management systems would be beneficial.
- A proactive attitude and a genuine desire to build a long-term career in bid management.
What We Offer
- Competitive salary of £30,000–£35,000, depending on experience.
- Excellent opportunities for progression into a Bid Writer or Bid Manager role.
- Ongoing training and professional development.
- Company pension scheme.
- A supportive and collaborative working environment.
- The opportunity to contribute to projects that improve energy efficiency and sustainability across the UK.
