About Aero Legends
Aero Legends operates premium historic aviation experiences, including Spitfire, vintage aircraft and jet flying experiences, alongside flying training, events and other aviation activities from a number of UK locations.
The business is highly seasonal. Our busiest period runs broadly from spring through to autumn, when our office and operational teams support a significant programme of customer flying across multiple locations.
We are looking for flexible Sales & Customer Administration Assistants to provide additional support to our customer and office team.
This is initially a temporary position, providing additional administrative and customer-service capacity during a busy period for the business. However, Aero Legends is developing its longer-term commercial and customer operations team and there may be an opportunity for the right person to continue with us beyond the initial temporary period.
This is not simply a back-office administrative position. The role combines customer service, sales and booking administration and, during the flying season, may also include front-of-house customer support at our flying locations.
Purpose of the role
To provide responsive, accurate and professional sales, customer-service and administrative support throughout the customer journey, from initial enquiry and booking through to the delivery or rebooking of a flying experience.
Initially, the priority will be to provide additional office capacity and help us manage customer enquiries, bookings, rebookings and general administration through the remainder of our busy flying season.
For candidates who remain with the business longer term, the role is intended to be flexible and seasonal, with greater hours available during the main flying season and potentially fewer hours during quieter winter periods.
Key responsibilities
1) Customer service
Respond to customer enquiries by telephone and email promptly and professionally; help customers understand Aero Legends’ flying experiences, availability, locations and booking options; provide clear information regarding bookings, vouchers and customer requirements; resolve routine customer queries and escalate more complex matters where necessary; maintain professional communication when flights are affected by weather, aircraft serviceability or other operational disruption; and contact customers proactively when changes require their attention.
2) Sales
Convert telephone and email enquiries into bookings where appropriate; help customers select the most suitable flying experience; identify appropriate opportunities for upgrades, flight extras, additional passengers, merchandise and other products; follow up genuine sales enquiries; support promotional and customer-contact campaigns; and contribute towards sales and conversion objectives.
The role requires a customer-service mindset combined with commercial awareness. We want customers to receive helpful, appropriate advice rather than aggressive sales pressure, while recognising genuine opportunities to secure or enhance a booking.
3) Booking administration
Create and amend customer bookings accurately; process rebookings following weather, serviceability and operational cancellations; administer vouchers and experience redemptions; maintain accurate customer and booking information; process bookings from third-party experience providers and resellers; check manifests and customer information ahead of flying events; assist with transferring customers between dates and operating locations; and ensure changes are accurately reflected across relevant systems and records.
Accuracy is important. Booking errors can directly affect aircraft utilisation, customer experience and operational delivery.
4) Flying-day and front-of-house support
During the flying season, there may be opportunities to support Aero Legends at our operating locations. Duties may include welcoming and checking in customers; confirming booking information; supporting customers from arrival through to their flight; assisting with customer safety briefings following appropriate training; coordinating with Ground Crew and pilots; managing customer timings and expectations; selling flight extras and merchandise; and supporting customers during weather or operational disruption.
Appropriate training will be provided before undertaking operational duties.
5) General administration
Maintain accurate electronic records and filing systems; assist with flying manifests and schedules; undertake routine office administration; prepare customer correspondence and documentation; maintain appropriate confidentiality; and support the management team with other reasonable administrative and commercial tasks.
Working pattern
This is initially a temporary, flexible position, and we are looking for people who can provide useful availability during the remainder of our busy 2026 flying season.
Hours will vary according to workload and operational requirements. Some weekend availability is desirable, particularly where the role involves supporting flying events.
Aero Legends is a highly seasonal business, so candidates considering a longer-term position should be comfortable with hours varying throughout the year. The greatest requirement for support is normally between March and October, with substantially lower demand possible during the winter.
Person specification
We are looking for people who are organised, dependable, personable and confident dealing with customers.
The successful candidate should have:
- Strong written and verbal communication skills and a confident telephone manner.
- Good general IT skills and the ability to learn new booking and administration systems.
- Excellent attention to detail and good organisational skills.
- The ability to remain calm when priorities change quickly.
- Confidence dealing with customers, including when flights are delayed, postponed or disrupted.
- Commercial awareness and confidence discussing products and prices.
- The ability to work independently once trained.
- A proactive and flexible approach to work.
- Reliable availability during agreed working periods.
Pay: From £14.00 per hour
Expected hours: 16.0 – 40.0 per week
