Full job description

We are seeking a dynamic, proactive and highly organised Estates Co-Ordinator / Administrator / PA to join our team.

This is a varied and rewarding role providing comprehensive administrative and operational support to the Chairman while assisting with the day-to-day management of Birtley Estates. You will play a key role in ensuring the smooth running of the estate by coordinating projects, supporting property and land management, overseeing contractors, managing company administration, preparing reports and budgets, and ensuring compliance with Health & Safety and GDPR requirements.

The role also includes supporting marketing and promotional activities, managing social media and website content, organising estate events, identifying new income opportunities, assisting with grant applications, liaising with tenants, contractors, the garden team and the local community, and contributing to the strategic development of the estate.

Duties

Key responsibilities include:

Providing executive administrative support to the Chairman.
Managing the day-to-day administration of Birtley Estates.
Acting as the main point of contact for the estate garden team, coordinating day-to-day activities, managing annual leave requests and supporting the scheduling of workloads to ensure the smooth running of estate operations.
Supporting property, land and estate management activities.
Coordinating contractors, maintenance projects and refurbishment works.
Preparing reports, meeting papers, budgets and other documentation.
Organising meetings, events and estate activities.
Managing the estate website, social media and marketing communications.
Maintaining databases and ensuring GDPR compliance.
Assisting with grant applications and identifying new funding and income opportunities.
Liaising with tenants, residents, contractors, directors and other stakeholders.
Reviewing contracts, insurance and service agreements.
Supporting the overall strategic management and development of the estate.

Skills & Experience

The successful candidate will have:

Proven experience in an administrative, PA or office management role.
Excellent organisational skills with the ability to prioritise a varied workload and confidently juggle multiple tasks.
Experience coordinating teams, scheduling workloads and managing staff administration, including annual leave requests.
Strong attention to detail and excellent problem-solving skills.
Exceptional interpersonal and communication skills, with the confidence to liaise with a wide range of people.
A professional, proactive and flexible approach to work.
Proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint).
Experience of document management, filing and maintaining accurate records.
Experience managing websites and social media platforms.
The ability to work independently using initiative while also working effectively as part of a small team.
Confidence in preparing reports, presentations and correspondence.
A full UK driving licence would be advantageous due to the nature of the role.
