Full job description

NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The role:

A temporary Band 3 Business Support Assistant supporting the Mental Health Service within Inverclyde HSCP. The post involves providing comprehensive administrative and clerical support to clinical staff and service users, and contributing to wider Mental Health & Recovery Service administration. Duration, Location, and Working Pattern:

Base location - Crown House, Greenock
Shift pattern: Wednesday, Thursday, Friday
Flexibility required to provide cover across other service areas when needed. You can explore work pattern details or location context.
Fixed term, maternity cover - Part-time

Key responsibilities:

Liaising with service users electronically and facetoface using PC and telephone systems
Reception duties and clinic cover using appropriate systems
Assisting with stock checks, ordering and control systems in line with financial procedures
Audio typing and keyboard work, producing reports, correspondence, minutes and memos using Microsoft Office
Supporting the development of new management systems where appropriate
Collecting statistics, data input, record management and general typing/transcribing
Appointment booking, accommodation booking, filing and archiving
Participating in secondskills training (e.g., audio typing)

Knowledge, training, qualifications and/or experience required to do the job:

Accurate keyboard skills and working knowledge of Microsoft Office Suite
Ability to prioritise workload effectively
Strong interpersonal and communication skills
Good organisational skills and a flexible approach
Awareness of EMIS Web (desirable)
Ability to manage a robust referral/allocation process
Knowledge of office environments, equipment and systems
Experience in secretarial or administrative roles and familiarity with office procedures. You can dive deeper into the required skills or EMIS Web basics.
