Job Title: Administrative Assistant

Location: London

Company: Esskay, as part of Fexco Property Services

Type of Employment: Full Time, 4 month contract

Hours: 9am – 5:30pm (Monday to Friday, with an hour for lunch) Office Based.

About this Role:

As Administrative Assistant plays a crucial role in the smooth operation of an office. Within this role you will be responsible for a variety of tasks that support the daily operations of the office, including supporting the Director and Seniors to ensure the office runs efficiently and effectively.

Main Duties and Objectives:

To provide courteous, professional, efficient and flexible service at all times
To have a full working knowledge and capability to perform all duties and tasks in the assigned Place of Work.
To adopt work methods that actively promote a responsible business culture e.g. turning off lights when not in use / recycling where ever possible.
Liaise with clients, leaseholders, residents, third parties as required.
Typing, printing and mailing letters.
To produce documents, forms and reports.
To update records and files.
To scan and email all relevant documents.
To maintain and update the necessary databases.
Dealing with and responding to emails which are sent or delegated to you.
Assisting with filing and archiving.
Other administrative duties, consistent with the role, that may be designated to you from time to time and are deemed within your capability.
To maintain own working area, materials and company property clean, tidy and in good shape; report defective materials and equipment to Senior Management.
To project at all times a positive and motivated attitude and exercise self control a s well as diplomacy.
To be fully conversant with all services and facilities offered by Esskay.
To understand and strictly adhere to the rules & regulations established and the company's policy on Fire, Hygiene, Health and Safety.
To have a complete understanding of the Operations Manual(s} and Policies & Procedures.
To maintain confidentiality in all aspects of the role.
Full compliance with Personal Data legislation.
Being smartly dressed at all times and groomed in line with the company's image.
To maintain a high standard of personal appearance and hygiene at all times.
To undertake any other reasonable tasks and secondary duties as assigned by management.
To respond to any changes in the place of work as dictated by the operation.

Essential Skills:

Previous experience in administrative and customer service roles.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Professional and confident telephone manner.
Exceptional attention to detail and accuracy, with strong problem-solving skills.
Highly organised and capable of managing multiple priorities in a fast-paced environment.
Flexible and adaptable to change.
