Full job description

The role

The Student Wellbeing Service is a key team within the Education and Student Success Division that provides direct support and advice to students. The role of the service is to support and encourage students to thrive in the University community in a way that enables them to pursue and reach their academic and personal potential. We provide wellbeing advice and support, advice on how to develop wellbeing self-management skills and ensure students with additional support needs are engaging with appropriate support.

This role is to create a positive student experience, balancing compassionate customer service with efficient administration to ensure the service operates effectively and students receive the right support at the right time.

This role is:

term time only
solely campus-based with no option to work from home
0.6 FTE (21 hours per week)
Fixed term for 9 months, from September 2026 to June 2027
working days being Monday, Tuesday, Wednesday.

What will you be doing?

As a senior administration assistant, you will provide essential administrative support to ensure the smooth day-to-day operation of the Student Wellbeing Service. This will include maintaining and updating booking systems, scheduling training and events, managing inventories, ordering and replenishing supplies, and undertaking a range of general administrative tasks.

You will be the first point of contact for students, staff and visitors, creating a warm, inclusive and professional environment where everyone feels welcomed and supported. Recognising that students may present with a range of emotional needs, you will communicate with empathy and professionalism, manage expectations around appointments and waiting times, and identify when concerns need to be escalated to an appropriate member of the team. You will handle sensitive personal information with discretion, ensuring compliance with GDPR and organisational policies at all times.

You will deliver an excellent standard of customer service across face-to-face, telephone and digital channels, responding to enquiries promptly and efficiently. You will be knowledgeable on location and purpose of other services located within Senate House allowing for effective direction to incoming queries. You will also take responsibility for maintaining a welcoming, organised and accessible reception and office environment, contributing to a positive experience for everyone using the service.

You have dynamic and flexible approach to managing competing demands and are skilled in prioritisation
You are able to problem solve and use initiative but also know when to seek advice
You can work both collaboratively to meet the needs of the wider team as well as independently on specific tasks and projects
