Overview of the role
We're looking for a highly organised and detail-oriented Central Operations Co-ordinator to join our Central Operations team.
This is a pivotal role providing operational, administrative, and reporting support to the Central Operations Manager and wider team. You'll play a key role in ensuring Retail and Field activities are effectively planned, governed, and aligned to business priorities, whilst maintaining critical operational processes that support our pharmacy network.
From producing insightful reports and managing supplier relationships to overseeing master data systems and owning the NHS End of Month process, you'll be at the centre of delivering operational excellence across the business.

As our Central Operations Co-ordinator, you'll:

Produce accurate, insightful, and well-presented reporting to support Field Management and central functions, helping drive performance and compliance.

Create and manage purchase orders, monitor approval workflows, and ensure invoices are processed accurately and on time.

Support the management and governance of Central Operations budgets, ensuring expenditure is tracked, controlled, and reported effectively.

Act as a key point of contact for suppliers, supporting issue resolution, service delivery, and performance monitoring.

Manage supplier relationships relating to areas such as uniforms and stationery, working closely with the Retail Support Team.

Maintain and administer the Master Data System (MDS), ensuring pharmacy opening hours, management structures, and ICB information remain accurate and up to date.

Own the process for updating pharmacy trading information, ensuring all changes are managed in line with contractual requirements.

Lead the NHS End of Month process, ensuring claims are accurately captured, reported, and submitted to maximise entitled revenue and reduce the risk of underpayment.

Identify missed opportunities and provide recommendations and reporting to key stakeholders.

Support operational communications by assisting with the creation and distribution of business updates to pharmacy teams and field management.

Provide wider co-ordination and administrative support across Central Operations projects and initiatives as required.
We're seeking an individual who is proactive, organised, and comfortable working across multiple priorities in a fast-paced environment.
You'll ideally have:

Previous experience within pharmacy operations or a healthcare-related environment (desirable).

Strong attention to detail and a commitment to accuracy.

Excellent analytical, problem-solving, and critical-thinking skills.

The ability to effectively manage competing priorities and deadlines.

Strong stakeholder management and communication skills, with confidence engaging internal teams and external suppliers.

Experience producing reports and working with operational data.

Good financial administration knowledge, including purchase order and invoice processes.

Strong Microsoft Office skills, particularly Excel, alongside experience using systems, intranet platforms, and finance tools.

A collaborative, resilient, and adaptable approach with a willingness to support the wider team when priorities change.
