Practice Coordinator
Location: Henley-on-Thames
Supporting the smooth day-to-day running of Blanchards Law.
About the Role
We are seeking a proactive, organised, and professional Practice Coordinator to support the day-to-day operations of our busy law firm.
This is a varied role that combines front-of-house responsibilities, office administration, facilities management, health and safety coordination, and general operational support. The successful candidate will play a key role in ensuring our office remains efficient, welcoming, and fully operational for both clients and colleagues.
This position is ideal for someone with excellent organisational skills who enjoys working in a fast-paced professional environment and takes pride in delivering outstanding administrative support.
Key Responsibilities
Front of House & Communications
- Answer inbound telephone calls and direct enquiries to the appropriate team members.
- Welcome clients and visitors in a professional, friendly, and courteous manner.
- Act as the main point of contact for external contractors, suppliers, and service providers.
- Liaise with IT providers to coordinate equipment, monitor support tickets, and assist with technical requirements.
- Support internal office communications where required.
Office Administration
- Maintain office supplies including stationery, kitchen, bathroom, and IT consumables.
- Process office-related purchases using the company card.
- Maintain accurate records of office expenditure and receipts.
- Manage incoming and outgoing post, courier deliveries, and collections.
- Scan, file, and distribute documents accurately while maintaining confidentiality.
- Coordinate secure document destruction with external providers.
Facilities & Office Management
- Coordinate contractors including cleaning services, utilities, waste management, landlords, fire safety providers, and maintenance contractors.
- Ensure the office is clean, organised, and presented to a high professional standard.
- Arrange repairs and maintenance when required.
- Oversee communal areas, ensuring they remain welcoming and well maintained, including plants and office aesthetics.
- Regularly inspect and replenish First Aid kits.
- Manage the Facilities inbox and respond promptly to requests.
Health & Safety
- Support the firm's health and safety procedures and compliance.
- Assist with maintaining health and fire safety documentation.
- Coordinate routine health and safety checks and ensure records remain up to date.
- Help develop and improve office procedures and operational documentation.
General Administrative Support
- Provide administrative support to solicitors and support staff as required.
- Assist with onboarding new employees, including IT equipment and office inductions.
- Support the wider team with ad hoc administrative and operational tasks.
- Contribute to maintaining a positive, collaborative, and well-organised working environment.
Skills & Experience
Essential
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Ability to manage multiple tasks and priorities effectively.
- Strong attention to detail and a proactive approach to problem solving.
- Professional and confident manner when dealing with clients, colleagues, and external suppliers.
- Ability to work independently whilst contributing positively to a team.
Desirable
- Previous experience in an office administration, facilities and reception role.
- Experience coordinating contractors, facilities, or office maintenance.
- Knowledge of workplace health and safety procedures.
- Experience supporting staff onboarding and office operations.

Pay: £23,500.00 per year
