Full job description

To create a smooth, efficient, and well‑organised working environment by overseeing daily operations, enabling teams to perform at their best, and ensuring the office runs with professionalism, clarity, and care.

· They act as the central coordination point for people, processes, and resources, safeguarding operational continuity and supporting leadership by turning organisational needs into practical, reliable systems.

· They will provide high-level executive support to the CEO, ensuring effective coordination and smooth running of core business activities, enabling the CEO to focus on leadership, growth, and strategic priorities.

· They will ensure that the financial and transactional needs of the business are processed through Xero financial software package, of which experience/knowledge is essential – this includes invoicing and payroll.

· They will support the CEO to maintain and develop 2B Enterprising as a professional, innovative and ambitious organisation.

Key Responsibilities

Executive Support:

· Manage CEO diary, scheduling, and prioritisation of commitments;

· Act as a key point of contact for internal and external stakeholders for core programme and key projects;

· Prepare briefings, presentations, and correspondence – including Board meetings and key strategic client engagements.

· Ensure all commercial opportunities are capitalized on – including proposals, funding applications for trusts/foundations and tracking tendering portals.

· Ensure all actions and follow-ups are tracked and completed.

Business Coordination:

· Coordinate day-to-day business activities to ensure smooth delivery including BD enquiries and operational queries.

· Support planning and organisation of workshop schedules, staffing, and logistics;

· Maintain oversight of operational activity and flag risks or gaps;

· Ensure clear communication across the team;

· Maintain and update systems and trackers to progress deadlines and monitor deliverables;

· Oversee stock control and supply chain management;

· Identify inefficiencies and support improvements.

Financial & Performance Support

· Maintain and update revenue and pipeline trackers;

· Support budgeting and forecasting processes;

· Work to ensure that all transactions are entered into Xero;

· Monitor costs, expenses, and key financial data and report it as required;

· Chase outstanding debt to sustain cashflow;

· Prepare summaries and reports for the CEO.

Board & Reporting:

· Prepare board packs, reports, and supporting documentation;

· Prepare the weekly cashflow and tracking reports as defined by CEO and publish to weekly deadline;

· Track KPIs and business performance metrics;

· Ensure actions from meetings are followed through;

· Support investor and funding reporting where required.

People & Administration

· Support recruitment, onboarding, and staff coordination;

· Maintain employee records and documentation utilizing Breath HR;

· Ensure that the payroll and pension requirements of the business are met utilising Xero as is required;

· Act as a central point for administrative and HR queries.

Person Specification

Essential:

· Strong organization, communication and coordination skills;

· Financial Software Management Skills preferably with Xero;

· Ability to manage multiple priorities in a fast-paced environment;

· High attention to detail and accuracy;

· Commercial awareness and confidence working with numbers;

· Strong IT and administrative capability;

· Ability to work independently and proactively as well as in a team environment.

Desirable:

· Experience supporting a CEO or senior leader;

· Experience in an SME or growing business;

· Strong Excel and reporting capability;

· Experience coordinating projects or operational activity;

· Experience in report writing/tendering.

Additional Information

The role requires a high level of ownership and accountability for coordination and execution across the business.

Whilst there are no direct management responsibilities, the individual will coordinate and lead team meetings, support the implementation of any resulting actions and ensure any key issues are raised with SLT/Board.

Pay: £32,000.00 per year
