About the Role
We’re looking for a highly organised and proactive Executive Assistant to support senior leadership and play a key role in the day-to-day running of the business.
In this role you’ll work closely with senior leaders, helping manage priorities, streamline operations, and bring structure and clarity to day-to-day business activities. Key Responsibilities
Executive Support
- Managing calendars, meetings, schedules, and travel arrangements for senior leadership
- Screening emails and calls, drafting correspondence, and ensuring timely follow-ups
- Preparing meeting agendas, taking minutes, and tracking action items
Business Administration & Operations
- Owning core admin tasks including invoicing, purchasing, inventory tracking, and documentation
- Supporting grant applications, funding paperwork, and other admin-heavy processes
- Maintaining confidential records and organised digital filing systems
Processes, Systems & Projects
- Improving workflows and creating efficient, digital-first processes
- Writing SOPs (Standard Operating Procedures) based on leadership input
- Supporting ad-hoc projects, research, and operational initiatives
Cross-Team Support
- Liaising with internal teams and external stakeholders
- Managing cloud folders, shared drives, and digital assets
Requirements
Experience
- 3+ years’ experience in an Executive Assistant, Business Administrator, or similar support role
- Experience supporting senior leadership or managing operational admin in a growing business
Skills & Competencies
- Strong organisational and time-management skills, with the ability to juggle multiple priorities
- High level of discretion and professionalism when handling confidential information
- Excellent written and verbal communication skills
- Proficient in Microsoft Office and/or Google Workspace
- Confident using digital tools, cloud platforms, and workflow systems

- Proactive, solutions-focused, and comfortable working independently
- Adaptable and calm under pressure in a fast-moving environment
- Comfortable wearing multiple hats and evolving with the role
- Communicate clearly and professionally, both written and verbal

- Are tech-savvy and enjoy improving systems and processes
Nice to Have (Desired but not Essential)
- Experience with tools such as Trello, Asana, Notion, Xero
- Exposure to grant applications, funding processes, or sales/operations admin
- Experience supporting sales, operations, or commercial teams

Pay: £35,000.00-£40,000.00 per year
