Job Summary
We are seeking a highly organised and detail-oriented Project & Management System Administrator/Document Controller to join our team. The key objective of the role is to provide business support to the Management team, technical staff and engineers working onshore and offshore. The main focus of the role is clerical administration of the ongoing projects and company integrated management system. The ideal candidate will exhibit experience and commitment in developing and executing business processes efficiently with an interest and strong focus on engineering. They will be confident with Microsoft Office and SAGE or similar business software. They will be a team player keen to play an active role in all aspects of our business administration and willing to support other company functions including sales, marketing and production. Training both on and off the job will be provided to supplement candidates' experience.
Responsibilities
· Document control, ensuring all project documentation and record keeping is up to date utilising company and client procedures.
· Typing up meeting minutes
· Some purchasing, obtaining quotes. Use of SAGE.
· Producing generic paperwork
· Producing budget reports for management and PM’s
Import / Export / Shipping
· Check relevant declarations are correct for imports and exports
· Generate commercial invoices and export documentation including HS coding
· Liaise with Project Engineers / Customers concerning delivery requirements
· Organise shipments and logistics (UK and worldwide)
Integrated Management System (IMS) Admin
· Maintain documentation associated with ISO 9001, 14001 and 45001 in the IMS.
· Adherence to, and admin of company procedures, Quality and HSE systems.
· Actively participate in IMS continuous improvement
· Tracking of KPI’s
· Arrange and record statutory inspections, fire drills etc.
Other Desirable Aptitudes
· Interest in engineering.
· Ability / willingness to train to identify order requirements from drawings
· Ability / willingness to train to perform receipt inspections of engineering orders
· Ability / willingness to train as fork lift driver – occasional use to cover absences
· Ability / willingness to train as First Aider / Fire Warden
- Basic IT knowledge to troubleshoot common software issues and optimise system use

ETA is a specialist Subsea Cable engineering company, providing engineering support, products and personnel to the renewable energy, telecoms, pipeline, and power cable industries around the world. We currently have premises in Portsmouth and Romsey, with an imminent consolidation to larger premises in Romsey. Hybrid working arrangements can be agreed after an initial familiarisation period.
