Crewing, Marine & Travel Coordinator Maternity Cover
We are seeking a highly organised, proactive and detail-oriented individual to support our Marine Operations, Projects and Crewing functions. This role combines comprehensive crew travel coordination, crewing logistics, and marine administrative support. The successful candidate will ensure efficient mobilisation and demobilisation of vessel and project crews, maintain compliance and training records, support accommodation and fleet requirements, and provide operational assistance to the wider Marine Team.
The role requires flexibility to support crew and project teams outside of normal working hours when urgent travel or operational issues arise.
Key Responsibilities
1. Travel Coordination & Cost Control
- Plan, book and manage all door-to-door travel for crew, project and office staff, including flights, ferries, trains, taxis, hire cars, hotels and serviced accommodation.
- Cross-check all itineraries provided by travel agents to ensure accuracy and operational suitability.
- Ensure robust cost control by sourcing and coordinating the most economical travel options available, guaranteeing that all travel is undertaken in the most cost-efficient manner possible.
- Manage hire car bookings, maintain internal tracking systems, and reconcile invoices, disputing discrepancies where required.
- Monitor and manage travel budgets to ensure value for money while maintaining operational effectiveness.
- Liaise with travel agents and suppliers, attend review meetings, and research alternative providers to secure competitive rates.
- Provide out-of-hours support for delayed, cancelled or amended travel arrangements.
2. Crewing Coordination
- Plan, manage and maintain vessel and project crew rotas in collaboration with Project Managers, the Marine Operations Manager and HR.
- Maintain daily crew resource and allocation records, ensuring accurate visibility of personnel movements.
- Coordinate crew changes with Vessel Masters and Project Managers, ensuring appropriate handover periods for key roles such as Masters and Engineers.
- Communicate directly with crew, vessel teams, property managers and travel providers to ensure smooth logistics.
- Manage Seafarer Employment Agreements (SEAs) and ensure all documentation is stored in compliance with GDPR.
- Participate in regular crewing and accommodation review meetings with Project teams.
- Support recruitment activities, including participation in interviews for prospective crew.
3. Training, Certification & Compliance
- Own and maintain the internal Training Matrix, ensuring all crew certifications remain valid and compliant.
- Book training courses and proactively manage certificate and licence expiries, including passports and driving licences.
- Maintain accurate records of crew documentation, certifications and compliance requirements.
- Coordinate medical examinations for the employee crew.
- Manage visa processes, including US visa applications, bookings and scheduling.
4. Accommodation Management
- Source, book and manage accommodation for crews and project teams in the UK and internationally.
- Act as the primary point of contact for accommodation providers, property managers and crew members.
- Ensure accommodation arrangements meet operational requirements and remain cost-effective.
5. Marine Team Administrative & Operational Support
- Provide administrative and operational support to the Marine Team during designated working hours.
- Assist with procurement activities, including raising purchase orders and coordinating orders.
- Support project and vessel operations with scheduling, documentation preparation and communications.
- Assist with the allocation and coordination of fleet vehicles for projects and liaise regarding maintenance requirements.
- Maintain structured filing systems and internal records to support Marine Operations.

6. Communication & Stakeholder Engagement
- Maintain clear, professional communication with crew, Project Managers, Vessel Masters, HR, travel agents and suppliers.
- Respond promptly to travel, crewing and operational issues, including outside of normal working hours when required.
- Build effective working relationships with internal teams and external service providers.
Qualifications & Experience
Essential:
- Previous experience in crewing coordination, travel management or marine operations support.
- Strong organisational skills with exceptional attention to detail and the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficiency in office software, spreadsheets and travel management systems.
- Ability to work independently and collaboratively in a fast-paced operational environment.
Desirable:
- Knowledge of marine industry processes, terminology and compliance requirements.
- Experience maintaining training matrices and certification systems.
- Background in administrative or operational support within marine, construction or logistics sectors.
Working Conditions
- Full-time position, typically Monday to Friday (08:30–17:00).
- Flexibility required to support crew travel and urgent operational requirements outside core working hours.
- Occasional meetings with suppliers, travel agents and internal stakeholders
Pay: £30,000.00-£35,000.00 per year
