We are seeking a proactive and organised Facilities Assistant to join our Facilities Management team at our Romsey site. This is a unique opportunity to take ownership of a busy and varied workplace environment, acting as the sole on-site Facilities representative.
Job Description
You will play a critical role in ensuring the smooth day-to-day running of the site, delivering a high-quality service to staff, visitors, and stakeholders, while maintaining compliance, safety, and operational excellence.
This role combines front-of-house responsibilities, facilities coordination, and administrative support, requiring a confident individual who can work independently and manage both planned and reactive tasks effectively.
Key Responsibilities
Act as the main point of contact on site for all facilities-related queries
Provide front-of-house support, including welcoming visitors and managing site access
Ensure security and compliance procedures are consistently followed
Coordinate support services including porterage, post handling, and meeting room management
Manage the FM mailbox and respond to queries in a timely and professional manner
Deliver site inductions (including H&S and environmental requirements) for new starters
Coordinate and oversee planned preventative maintenance (PPM) and reactive works
Ensure compliance with HSEQ standards, fire safety, water hygiene, and traffic management plans
Support audits, including security and compliance checks
Assist with delivery of low to medium-risk site projects
Maintain the site to a high standard, ensuring a professional and organised environment at all times
Professional and Personal Competencies/Qualifications
Previous experience in Facilities Management, Front of House, or a similar environment
Ability to work independently and take ownership of site operations
Strong IT skills, including confidence with MS Office and administrative systems
Experience managing or coordinating planned and reactive maintenance
Excellent communication skills, with the ability to engage confidently with clients, visitors, and stakeholders
Highly organised with strong attention to detail
Customer-focused with a proactive, problem-solving approach
Comfortable working in a fast-paced, varied environment
Willingness to undertake responsibilities such as First Aider and Fire Warden (training provided)
