Role Description
Innovex are seeking a Quotes & Tender Coordinator to join our team in Dyce, Aberdeen on a permanent basis. This role will focus on coordinating and preparing proposal documents, preparing cost estimates, and entering all order details into the ERP or Sales Management System. It will also be responsible for the coordination, preparation, and submission of commercial tenders, quotations, and proposal documentation in response to client enquiries and Invitations to Tender (ITT). The successful candidate will also be required to liaise with internal departments to obtain technical, commercial, and operational inputs, ensuring all submissions are completed accurately and within required timescales.
Key Responsibilities
- Review of enquiries and contract tenders
- Ensuring that relevant sections of the ITT are distributed internally to the appropriate departments
- Attending meetings with tender pursuit team and identify responsibilities, required inputs and key dates
- Must actively pursue this to ensure target dates are met
- Review of all information relating to bid, clarification of responses received from internal support departments and insertion of qualifications into bid document as appropriate
- Gathering support information from internal drives for insertion into bid document
- Preparation and compilation of quotes and proposals in accordance with ITT guidelines
- Maintaining single point of contact for the client during the bid and bid clarification phases
- Distributing bid clarification documents to the responsible personnel, expediting the timely response therefrom and submitting the clarification responses to the client
- Complying with Quality and HSE regulations, policies, procedures as applicable to function
- Gathering and maintaining standard information packages in support of tenders
- Assisting the team with sales order entry and revisions in Macola
- Assisting with the distribution of workload in the department.
What We’re Looking For
- Proven ability in ITT (Invitation to Tender) response compilation
- Experience handling bid clarification processes and maintaining communication with clients throughout tender stages
- Familiarity with qualification statements, exclusions, and commercial risk identification within proposals
- Experience maintaining and managing standard tender support documentation and information packages
- Strong deadline management and ability to proactively chase internal contributors for information
- Ability to coordinate cross-functional teams and ensure timely submission of inputs
- High attention to detail when reviewing documentation and compiling final submissions
- Good organisational and planning skills with the ability to manage multiple tenders simultaneously
- Strong written communication skills for preparing proposals and clarification responses and ability to communicate effectively with internal departments
- Good general IT skills including working knowledge of Microsoft Office
- Extensive experience in a similar commercial or technical role
