Document Controller

Location: Livingston

Salary: £37,455 to £44,064 and range of benefits

About the role

The Document Controller provides essential support to project, engineering, and operational teams by ensuring the effective management, control, and coordination of documentation across all project phases. The role exists to maintain a reliable document control environment, ensuring that all project information is accurate, compliant, traceable, and easily accessible. This supports safe, efficient, and compliant delivery of works within the Operations division.

What You'll Be Doing

Document and Information Management
Maintain an organised, accurate, and secure document management system for project and operational documentation.
Ensure all documentsincluding drawings, specifications, reports, and correspondence are correctly classified, stored, and indexed for easy retrieval.
Maintain up to date registers of all controlled documents, ensuring traceability across revisions and approvals.
Distribution, Tracking, and Compliance
Manage the timely distribution of documentation to internal and external stakeholders, ensuring correct versions are issued.
Track and monitor document status, identifying overdue or missing information and escalating where required.
Ensure compliance with internal standards, external regulations, and document control procedures, carrying out regular quality reviews.
Stakeholder Coordination
Act as a central point of contact for document control queries, engaging with project teams, contractors, and subject matter experts.
Communicate document control expectations and assist in driving consistent application of processes across teams.

About you

You’re organised, detail focused, and confident managing a wide range of project and operational documents. You enjoy creating structure, keeping information accurate and accessible, and staying on top of version control and approvals.
You’re comfortable tracking document progress, spotting gaps, and ensuring the right people receive the right information on time. You communicate clearly, support colleagues with document control queries, and help teams follow consistent processes.
Overall, you take pride in being the reliable point of coordination that keeps documentation flowing smoothly and compliantly.

Security Clearance

The successful candidate must be able to achieve and maintain Security Check (SC) security clearance for this role.

Key Requirements and Experience

Suitable for candidates with foundational experience in administrative, document control, or project support roles in engineering or construction environments.
Technical Knowledge

Basic understanding of:

Data management and reporting
Design management
Governance and assurance
Health and safety awareness
Knowledge management and information lifecycle
Legal and regulatory compliance
PMO principles
Quality and requirements management
Risk and issue management
