What this role is for
Anatomical Concepts is a small business at an important growth point. We are opening new premises, expanding services, working towards ISO 13485 certification and strengthening the systems that support a growing business. We now need someone to lead the day to day operational running of the company, allowing the directors to focus on developing and expanding the knowledge, expertise and services our customers rely on.
You would lead the operational layer of the business: our internal policies, premises, office team and the practical systems that hold everything together. You would also help ensure that our quality processes are followed consistently, working with the Director responsible for the quality management system.
This is a varied role with genuine scope to improve how things are done. You would have autonomy from the start and direct access to the people making decisions.
What you will be responsible for
Policy and governance. Writing, implementing and reviewing our policies across employment, operations and premises, including a full policy set for our new public-facing unit.
Quality system administration. Overseeing the day to day running of our quality management system, making sure records, training and routine checks are completed properly, and following up where actions are outstanding.
The team. Supervising office staff, setting priorities, managing day to day performance and onboarding, and ensuring appropriate office coverage.
Premises and suppliers. Two units, their contracts, insurance, utilities, maintenance and upkeep. Sourcing quotes and making the case for spend.
Business administration. Overseeing routine financial administration and supporting the review and presentation of budgets and management reports. Holding the office operational budget.
Operational problem-solving and improvement. Taking ownership when unexpected issues arise, resolving them calmly, and putting practical processes in place to prevent recurrence.
Who we are looking for
You will ideally have experience of working in a hands-on small-business environment. More important than the exact shape of your CV is whether you recognise this kind of work, enjoy taking responsibility and want to do it well.
Essential
- Experience of writing and implementing policies and procedures, with the judgement to identify and apply appropriate good practice
- Confident supervising a small team, giving clear feedback and addressing performance concerns
- Strong organisational ability, happy to take ownership and follow work through reliably
- Comfortable with documentation and record keeping, and able to keep a system in order over time
- Confident with numbers, budgets and management reporting
- Sound judgement about what to decide yourself and what to bring to a director
- Calm and practical approach to the unexpected
Desirable
- Experience of working within a quality management system, ideally one aligned with ISO 13485 or ISO 9001
- Background in medical devices, healthcare supply or another regulated sector
- Confident using Microsoft 365, Xero and AI-assisted tools appropriately, with sound judgement around confidentiality and data protection
- Experience of managing premises or supplier contracts
- Familiarity with shipping logistics, customs or import procedures
