Job Summary
We are seeking a highly organised and proactive Personal Assistant to support our Director. The successful candidate will be responsible for managing schedules, handling correspondence, and performing administrative tasks to ensure the smooth operation of daily activities. Duties
- Manage and maintain the Director’s calendar, scheduling appointments and meetings efficiently
- Handle incoming correspondence, emails, and phone calls with professionalism and courtesy
- Prepare reports, presentations, and other documents using Microsoft Office and Google Workspace tools
- Assist with data entry tasks, ensuring accuracy and confidentiality of information
- Organise travel arrangements, including booking transport and accommodation as required
- Maintain filing systems, both digital and physical, to ensure easy retrieval of documents
- Support with general administrative duties such as photocopying, scanning, and ordering office supplies
- Utilise QuickBooks for basic bookkeeping tasks and expense management
- Uphold excellent phone etiquette when communicating with clients, suppliers, and internal teams
- Perform other duties as assigned to support the efficient running of the office
- Meeting tenants or staff that require attention.

Experience
- Proven administrative experience in a similar role or office environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar accounting software is desirable
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent data entry skills with a high level of accuracy
- Previous clerical experience including filing, correspondence management, and general office duties
- Demonstrated ability to handle multiple tasks simultaneously in a fast-paced setting
- Good phone etiquette and professional communication skills
- Typing speed of at least 50 words per minute is preferred
