Office & Business Support Coordinator
Reports To: Senior Management
Role Purpose
The Office & Business Support Coordinator is responsible for leading all office administration and business support functions, ensuring efficient day-to-day operations across the organisation. The role manages the Receptionist and oversees administrative processes that support operational departments, staff, visitors, and Directors. Acting as the central point of coordination for office services, facilities, business systems and employee administration, the post holder drives consistency, efficiency and continuous improvement across the business.
The role also provides administrative support to project delivery teams, including construction site administration, and deputises for the Project / BCAR Coordinator during periods of absence or increased workload, ensuring continuity of project compliance and handover activities.
Key Responsibilities
Office Leadership
- Lead the Office Administration function.
- Develop office systems, policies and procedures.
- Ensure efficient operation of Head Office facilities.
- Provide administrative support to Directors and senior management.
- Coordinate cross-department administrative activities.
Line Management
Manage and support the Receptionist, conduct regular workload planning, performance reviews and training for the Receptionist to ensure high service standards.
Business Administration
- Coordinate training programmes.
- Maintain company filing and document management systems.
- Coordinate IT hardware, software and communications providers.
- Manage office equipment for new starters and leavers.
- Coordinate annual company events.
- Manage office cleaning and facilities services.
Deputy Project Coordination Support - Construction Site Administration
- Provide administrative support to live construction projects throughout the project lifecycle.
Project Coordination Support - (Deputy Project / BCAR Coordinator)
- Deputise for the Project / BCAR Coordinator during periods of annual leave, absence or peak workload.
- Assist with coordination of BCAR documentation throughout project delivery.
Company Assets & Facilities
- Manage PPE stock and ordering.
- Administer company assets.
- Coordinate office maintenance requirements.
Social Value & Corporate Support
- Lead company social value initiatives.
- Record our Social Value commitments across our projects.
- Coordinate community engagement activities.
- Support business-wide administrative improvement projects.
Pay: £32,000.00-£38,000.00 per year
