Job Summary
The Dispatch & Warehouse Manager oversees daily operations of the despatch and warehouse functions. This includes despatch, goods in, stock control & ordering, people management and compliance with all regulatory requirements (HACCP, BRCGS). The Dispatch & Warehouse Manager drives productivity, attention to detail and a customer service focused culture in addition to a positive, safety-first work environment.
DUTIES & RESPONSIBILITIES:
1. Team Leadership & Development
- Train new and existing employees on processes, equipment operation, safety procedures, and food safety requirements; maintain accurate training and quality records.
- Manage and supervise and motivate a team of Operatives.
- Support the Production Manager with HR tasks including hiring, training, monitoring attendance, performance management, and scheduling holidays to optimize labour utilization.
- Provide coaching and regular feedback.
2. Goods In, Stock Control, Stock Ordering & Warehouse Management
- Work closely with the Production Manager to plan and execute daily production schedules to achieve output targets, meet product specifications, quality standards, and delivery deadlines while minimizing downtime, waste.
- Ensure effective stock control and correct rotation of ingredients.
- Complete accurately weekly and month end stock takes.
- Maintain stock records
- Place weekly orders with suppliers and work closely with the Commercial Director to monitor supplier performance.
- Manage the operative(s) responsible for ensuring that packaging and raw materials are available for the production team in a timely manner to ensure there are no unnecessary line stoppages. E
- Ensure a clean, tidy and well organised warehouse is maintained
3. Dispatch Coordination & Execution
- Cold chain & temperature control management — Oversee proper blast chilling & final chilling, loading sequence, and maintain temperature records to prevent spoilage and maintain product integrity during loading, off-loading.
- Ensure that all necessary haulier pallet bookings are in place each day
- Coordinate the dispatch function — Oversee the planning and execution of all outgoing shipments to ensure on-time delivery to customers.
4. Order Fulfilment & Accuracy
- Ensure order fulfilment and accuracy — Verify customer orders against despatch notes; confirm correct products, quantities, use-by dates, purchase order numbers to minimize shipping errors to protect food safety and customer satisfaction.
- Handle end of shift inventory of finished goods and liaise with the Production Manager to inform production planning process
5. Customer Service
- Resolve issues and exceptions — Quickly address delivery problems, short shipments, or other exceptions; coordinate returns, re-deliveries, and implement preventive measures.
- Ensure that there is clear communication of any shortages / over production to senior management/ customers to allow timely corrective action to be made.
6. Food Safety & Quality Assurance
- Ensure strict compliance with food safety protocols, including HACCP plans, GMPs, sanitation procedures, allergen controls, foreign material prevention, and pest management programs.
- Support the Technical team to conduct regular inspections, quality checks, and audits; prepare the facility for internal and external audits/inspections. Maintain audit readiness and a clean & safe despatch and warehouse environment at all times.
- Attend morning meetings, close out issues reported by the Technical team, and communicate any compliance or quality concerns directly to the Production Manager.
7. Safety & Workplace Compliance
- Enforce workplace safety policies and procedures at all times
- Promote a safe working environment and address any identified hazards promptly.
- Maintaining equipment, storage, and serving areas in sanitary conditions, reporting malfunctions, and monitoring the work environment for safety
- Uphold safety & regulatory compliance — Promote a safe working environment; enforce PPE use, proper manual handling techniques, and vehicle (fork lift) safety protocols.
8. Collaboration & Continuous Improvement
- Collaborate closely with the technical team and other departments to resolve cross-functional issues and support continuous improvement initiatives.
- Drive ongoing efforts to increase operational efficiency, reduce costs, minimize waste, and enhance overall product quality. 9. Documentation & Traceability Maintain accurate and complete records, quality documentation, and other records required for traceability, compliance, and audit readiness.
Pay: £35,000.00-£40,000.00 per year
