Full job description

About the Role

We are seeking a highly organised and proactive Occupational Health Co-ordinator to join our growing team. This role is essential in ensuring the smooth and efficient delivery of our occupational health services. You will be the key point of contact for clients and clinicians, supporting day-to-day administration, scheduling, and service management.

In addition, you will take responsibility for invoicing and credit control, ensuring financial processes are completed accurately and on time.

This role would suit someone with strong administrative experience, excellent communication skills, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

Occupational Health Administration

Coordinate appointments, assessments, and health surveillance schedules.
Act as the central point of contact for client queries and internal clinical teams.
Maintain accurate records and ensure confidentiality and data protection compliance.
Assist with the preparation of reports, documentation, and client communications.
Support OH Advisors and OH Physicians with case management administration.

Invoicing & Credit Control

Prepare and issue client invoices accurately and within agreed timescales.
Monitor outstanding payments and carry out proactive credit control activities.
Liaise with clients regarding billing queries, overdue accounts, and payment arrangements.
Work closely with the finance team to maintain accurate financial records.
Ensure all financial processes follow internal policies and audit requirements.

General Coordination

Support the development and improvement of administrative processes.
Assist with onboarding new clients and setting up service profiles.
Provide general organisational support to the wider Occupational Health team.

Skills & Experience Required

Previous administrative experience (ideally within healthcare, HR, or a service-led environment).
Experience with invoicing, credit control, or financial administration.
Strong organisational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to prioritise workloads and meet deadlines.
Confident using IT systems, including MS Office and client management software.
Ability to handle sensitive information with discretion and professionalism.
