Sales Operations Executive (Admin)

We're looking for a highly organised, customer-focused, and proactive individual who thrives in a fast-paced environment and enjoys building relationships with customers, dealers, funders, and internal teams to deliver an exceptional leasing experience.
What You'll Do
- Manage customer orders from delivery authorisation through to successful vehicle delivery
- Proactively obtain delivery updates from dealers and ensure CRM records are accurate and up to date
- Secure and coordinate vehicle delivery dates with dealers and customers
- Communicate delivery delays, vehicle issues, and updates to relevant internal teams
- Assist customers with Letters of Authority (LOAs), ensuring documentation is processed correctly and in line with company procedures
- Maintain delivery forecasts, dashboards, inboxes, and operational reports
- Support dealer finance processes by obtaining agreements and documentation in a timely manner
- Review and process finance agreements, ensuring compliance with signing instructions and funder requirements
- Manage portal systems including LeaseLink, Fleet Procure, and manufacturer platforms
- Handle customer and dealer queries professionally and efficiently
- Conduct customer welcome calls and provide updates throughout the delivery journey
- Support operational targets by reducing inbound delivery queries through proactive communication
- Build strong working relationships with dealers, funders, customers, and internal departments
- Ensure all activities are completed in line with FCA regulations, company policies, and compliance standards
What We're Looking For
- Previous experience within customer service, sales support, operations, or administration
- Experience working in a fast-paced, high-volume environment
- Ideally experience within vehicle leasing, automotive, fleet, finance, or transport industries
- Strong organisational skills with excellent attention to detail
- Excellent verbal and written communication skills
- Confident using Microsoft Office applications including Outlook, Excel, and Word
- Previous experience using CRM systems
- A proactive, positive, and customer-focused approach
- Strong problem-solving skills and ability to manage multiple priorities
- Ability to work effectively under pressure and meet deadlines
- A team player who enjoys working collaboratively towards shared goals
