Summary
The Accreditation Coordinator plays a key role in supporting Pro EV's accreditation, compliance and operational administration functions. The role is responsible for maintaining accurate records, coordinating evidence for industry accreditations, supporting workforce compliance requirements, and ensuring operational documentation remains current and audit-ready.
This position is critical in maintaining the high standards required for accreditation schemes, customer compliance requirements, and internal operational controls.
Key Responsibilities
1. Accreditation Management & Compliance Support
- Coordinate the collection, organisation and submission of accreditation evidence.
- Maintain accreditation records and filing systems to ensure audit readiness.
- Produce reports highlighting outstanding accreditation requirements and paperwork.
- Chase and manage outstanding OZEV installation photographs and supporting documentation.
- Support internal and external audits by preparing documentation and evidence packs.
- Assist with the maintenance and renewal of company accreditations and certifications.
2. Workforce Compliance Administration
- Support the management of workforce compliance records.
- Maintain accurate records relating to:
- DBS checks
- Driving licences
- Health & Safety certifications
- PPE issue registers
- Equipment calibration records
- Training and competency documentation
- Monitor expiry dates and proactively identify upcoming renewals.
- Liaise with employees and managers to ensure compliance records remain up to date.
3. Operational Records & Administration
- Support stock ordering administration and record management.
- Maintain fleet administration records including:
- Vehicle documentation
- Insurance records
- Toll accounts
- Fuel cards
- Traffic fines and penalties
- Update and maintain operational registers and company documentation.
- Ensure records are accurate and aligned with company procedures.
- Work closely with Operations, Fleet and Finance teams to ensure data integrity across all systems.
