We are looking for an enthusiastic, professional, and customer-focused Dental Receptionist / Front of House & Patient Coordinator to join our growing practice.
This role is ideal for someone who enjoys delivering exceptional customer service while also helping patients begin their treatment journey. As the first point of contact for our practice, you will be responsible for creating an outstanding patient experience, managing enquiries, maintaining our CRM, and converting patient enquiries into consultations and treatment bookings.
Key Responsibilities
- Welcome patients and visitors in a warm, friendly, and professional manner.
- Answer telephone calls, emails, and online enquiries promptly.
- Manage appointment scheduling, confirmations, recalls, and diary optimisation.
- Maintain accurate patient records and ensure CRM data is up to date.
- Respond to new patient enquiries and follow up leads using the practice CRM.
- Build rapport with prospective patients and confidently convert enquiries into booked consultations.
- Follow up outstanding treatment plans and support patients through their treatment journey.
- Process payments and assist with finance applications where required.
- Liaise with dentists, treatment coordinators, and the clinical team to ensure a seamless patient experience.
- Ensure reception is organised, welcoming, and operating efficiently.
- Support marketing campaigns by following up enquiries generated from social media, website, and advertising.
- Monitor key performance indicators such as enquiry response times, consultation bookings, and conversion rates.
What We're Looking For
- Previous experience in dental reception, healthcare reception, hospitality, or a customer service role.
- Experience using CRM systems and managing customer pipelines is highly desirable.
- A proven ability to convert enquiries into appointments or sales.
- Excellent communication, relationship-building, and telephone skills.
- Strong organisational skills with excellent attention to detail.
- Confident using computers and practice management software.
- A proactive, positive attitude with the ability to work independently and as part of a team.
- A genuine passion for delivering outstanding customer service and patient care.
