Job Purpose
The Fleet Maintenance Planner & Coordinator is responsible for planning, scheduling, and coordinating preventative maintenance, inspections, repairs, and compliance activities across the company's and customer's vehicle and equipment fleet. The role ensures maximum fleet availability, operational efficiency, safety, regulatory compliance, and cost control through effective maintenance planning, supplier coordination, and performance monitoring.
£30,000 - £35,000 DOE. This is a hybrid role with 3 days in our Reigate office and 2 days working from home.
37.5 hours per week. 08.00am - 16.00pm or similar.
Key areas of Responsibility
- Develop and maintain preventative maintenance schedules for all fleet vehicles and equipment.
- Coordinate vehicle servicing, repairs, inspections, and statutory compliance activities.
- Work closely with operations teams to minimise vehicle downtime and maximise fleet utilisation.
- Liaise with internal technicians, external maintenance providers, transport providers and vehicle manufacturers.
- Monitor maintenance progress and ensure work is completed safely, on time, and within budget.
- Maintain accurate fleet maintenance records, service histories, and compliance documentation.
- Track and report on vehicle defects, breakdowns, repair trends, and maintenance costs.
- Manage maintenance planning systems and fleet management software.
- Monitor key fleet performance indicators, including vehicle availability, downtime, service compliance, and maintenance spend - and be able to produce presentations and reports for internal and customer use.
- Ensure all fleet activities comply with company policies, health and safety requirements, and relevant transport regulations.
- Support continuous improvement initiatives aimed at reducing costs and improving service delivery.

- Ability to manage multiple priorities in a fast-paced operational environment.
- Strong attention to detail and record-keeping accuracy.
- Effective workload management and prioritisation capabilities.
Experience
- Minimum of 2 years in a similar role
Skills and Experience (Desirable)
- An understanding of fleet maintenance planning and resource allocation.
- Experience using fleet management, maintenance planning, or asset management systems.
- Ability to interpret maintenance schedules, service requirements, and technical information.
- Understanding of vehicle compliance regulations, MOT requirements, and health & safety standards.
- Competence in Microsoft Office applications, particularly Excel and PowerPoint for reporting, analysis and presenting.
Pay: £30,000.00-£35,000.00 per year
