Full job description

Description

The Professional Services Administrator / Assistant is required to provide key administrative and business support for a couple of Vice Presidents in EMEA. The EA will have the ability to exercise good judgment and confidentiality in a variety of situations, with strong written, verbal communication, administrative, and organizational skills, along with the ability to maintain a realistic balance among multiple priorities. This is a full time, permanent role and you will be required to work 3 days a week from our office in Farnborough.

A Typical Day in the Life Includes:

Arrange and manage rapidly changing and complex calendars on a global scale
Manage domestic and international travel, flights, hotels, and ground transportation
Participate in management team calls, issue agendas, take minutes and monitor actions
Event coordination and project management for executive(s) and customer visits
Coordinate divisional workshops, team events, offsites and town halls
Process expense reports, ensuring accurate cost allocation and adherence to expense policy
With extensive experience/knowledge in Tecom/Freezone visa processing
Ensure all employees new visa/ renewal processes are completed in a timely manner
Issue HR letters (e.g., salary certificates, employment letters, NOCs)
Review and prioritize emails and follow up on urgent action items
Assist with PPT presentations
Communicate in a positive and professional manner with internal and external clients on behalf of their executive
Type letters, reports and other correspondence as required
Provide general administrative support

Basic Qualifications:

Proven experience of supporting senior executives within a high-paced environment
Exceptional written and oral communication skills
High level of flexibility and adaptability
The ability to multitask and prioritise an everchanging workload
Excellent word processing and IT skills
The ability to work under pressure and to tight deadlines, strong sense of urgency
Good organisational and time management skills
Excellent interpersonal skills
Strong attention to detail
Discretion and an understanding of confidentiality issues
