About the Role:

At OBT3 Business Technology Services Ltd, we help organisations improve their day to day operations through reliable systems, practical processes and responsive business support. We believe that efficient operations are built through clear communication, strong coordination and consistent follow through.

We are looking for an Operations Coordinator to support our growing team in Alloa, Scotland. You will help organise daily activities, maintain accurate records, coordinate internal requests and ensure that operational tasks are completed on time.

This is a mid level position suited to someone who is organised, dependable and comfortable working with different teams. You will not be responsible for executive management, but you will have ownership of important operational processes and contribute directly to the smooth running of the business.

Key Responsibilities:

Daily Operations Coordination:

Support the organisation of daily business activities, internal requests, schedules and operational priorities.

Administrative Support:

Prepare documents, update spreadsheets, maintain records and ensure that operational information remains accurate and accessible.

Task and Deadline Monitoring:

Track open actions, follow up with responsible team members and help ensure that agreed deadlines are met.

Internal Communication:

Act as a point of contact between departments and communicate updates, requirements and outstanding actions clearly.

Supplier and Service Coordination:

Assist with supplier communication, service bookings, office requirements and the monitoring of external support providers.

Reporting:

Prepare regular operational reports, activity summaries and progress updates for internal review.

Process Improvement:

Identify recurring delays or administrative issues and suggest practical improvements to existing procedures.

Customer and Team Support:

Respond to routine operational enquiries and help resolve issues by coordinating with the appropriate department.

What We Are Looking For:

Experience:

At least 2 to 4 years of experience in operations, administration, project support, business coordination or a similar role.

Organisation:

You can manage several tasks at the same time, maintain accurate records and prioritise work according to urgency.

Communication:

You are confident communicating with colleagues, suppliers and customers by email, telephone and online meetings.

Technical Skills:

You are comfortable using Microsoft Word, Excel, Outlook, Teams or similar business software. Experience with customer relationship management systems or project tracking platforms is beneficial.

Problem Solving:

You take a practical approach to operational issues and know when to resolve a matter independently or escalate it to the appropriate person.

Attention to Detail:

You check your work carefully and understand the importance of accurate documentation, scheduling and reporting.

Mindset:

You are dependable, proactive and willing to support different areas of the business when operational priorities change.

Pay: £2,035.00-£3,000.00 per month
