**Job Overview:**
We are seeking a highly organized, detail-oriented, and reliable Administrative Assistant to join our team on a full-time basis. The ideal candidate will provide administrative support to ensure the smooth operation of daily office activities, contributing to the overall efficiency of our organization.
**Key Responsibilities:**
- **General Office Support:**
- Answer phone calls and handle inquiries in a professional and friendly manner.
- Greet visitors and direct them to appropriate staff.
- Manage and organize incoming and outgoing mail, packages, and deliveries.
- **Data Entry and Document Management:**
- Maintain accurate records and databases, including filing and organizing paperwork.
- Assist with data entry, document preparation, and creating reports as needed.
- Prepare and proofread documents, emails, and internal communications.
- **Office Supplies and Inventory:**
- Monitor office supplies and ensure that necessary items are stocked.
- Place orders for supplies as needed and maintain vendor relationships.
- **Miscellaneous Administrative Tasks:**
- Assist with other administrative duties as needed, including photocopying, scanning, and organizing files.
- Handle basic bookkeeping tasks, such as tracking expenses and managing invoices (if applicable).
**Qualifications:**
- Previous administrative or office experience preferred.
- Strong organizational and multitasking skills.
- Proficiency in Xero, Microsoft Office Suite (Word, Excel, Outlook, etc.) and basic office equipment (copiers, fax machines, etc.).
- Excellent communication skills, both written and verbal.
- Attention to detail and the ability to work with minimal supervision.
- Positive, professional attitude and ability to maintain confidentiality.
