Personal Assistant / Construction AdministratorOverview

We are looking for a highly organised, proactive and adaptable Personal Assistant / Construction Administrator to provide direct support to the Director while assisting with the day-to-day operations of a busy construction and property development business.

This is a varied role where no two days are the same. You will be involved in everything from managing diaries and coordinating meetings to supporting live construction projects, liaising with subcontractors, organising compliance documentation, assisting with procurement, and helping ensure projects run efficiently from start to finish.

The ideal candidate will be confident communicating with clients, suppliers, local authorities and consultants, possess excellent organisational skills, and be capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

Provide day-to-day administrative and personal support to the Director.
Manage diaries, appointments, meetings and travel arrangements.
Act as the first point of contact for clients, subcontractors, suppliers and professional consultants.
Coordinate communication between site teams, office staff and external stakeholders.
Prepare quotations, contracts, reports, spreadsheets, presentations and general correspondence.
Assist with project administration from pre-construction through to completion.
Organise and maintain project documentation, including drawings, specifications and technical information.
Monitor and manage Building Control, Planning, NHBC/Warranty provider and Local Authority correspondence.
Assist with procurement by obtaining quotations, placing material orders and monitoring deliveries.
Coordinate subcontractor schedules and maintain labour records.
Track project progress and follow up outstanding actions with contractors and consultants.
Assist with Health & Safety administration, including RAMS, construction phase plans, site documentation and training records.
Maintain compliance records, insurance documents, certifications and accreditation renewals.
Assist with document control and version management for construction drawings and project information.
Support accounts administration, including processing invoices, purchase orders, payment schedules and reconciliation using accounting software where required.
Coordinate utility applications, service connections and statutory authority enquiries.
Arrange meetings, site visits and inspections with Building Control Officers, Structural Engineers, Architects and other consultants.
Maintain organised filing systems for both digital and physical project records.
Undertake research into products, suppliers, planning requirements and construction solutions.
Assist with general office management, ensuring efficient day-to-day operations.

Skills & Experience

Previous experience in construction, property development, engineering or a similar industry is highly desirable.
Strong organisational and time management skills with the ability to prioritise multiple tasks.
Excellent written and verbal communication skills.
High level of proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint).
Experience using Google Workspace is advantageous.
Familiarity with accounting software such as QuickBooks, Xero or Sage is beneficial.
Ability to interpret construction terminology and technical documentation is desirable.
Confident working with subcontractors, suppliers and professional consultants.
Excellent attention to detail with strong administrative and document control skills.
Ability to work independently while maintaining a professional and proactive approach.
Full UK driving licence is desirable.
