Hours: 20 hours across 5 days however flexibility around this for the right candidate
Contract: Fixed Term Part Time contract until 31st March 2027
About the Role
We are looking for a highly organised and customer-focused Medical Secretary Administrator to join our team. This is an excellent opportunity for someone who enjoys working in a fast-paced healthcare environment and takes pride in delivering an efficient, accurate, and professional administrative service.
Working closely with our Medical Secretaries, General Practitioners (GPs), clinical colleagues, and external healthcare providers, you will play a key role in ensuring referrals are managed effectively, patient records remain accurate, and communication across the practice runs smoothly.

What You'll Be Doing
As Medical Secretary Administrator, you will:
- Provide comprehensive administrative support to the Medical Secretary team and GPs.
- Respond to referral enquiries from patients, colleagues, consultants, and healthcare providers.
- Coordinate referrals with hospitals, clinics, and consultant secretaries, ensuring they are processed accurately and promptly.
- Manage incoming telephone calls, emails, and correspondence in a professional and timely manner.
- Update and maintain electronic patient records, ensuring information is accurate and confidential.
- Record actions, communications, and follow-up activity within the clinical system.
- Support colleagues during periods of annual leave or absence to help maintain continuity of service.
- Work collaboratively with clinical and administrative teams to ensure information flows efficiently.
- Contribute to maintaining high standards of quality, compliance, and information governance, including GDPR and CQC requirements.

Knowledge of healthcare administration or medical terminology would be beneficial but is not essential, as training will be provided where appropriate.
