Harringtons Lettings is looking for an experienced and enthusiastic Lettings Negotiator & Marketing Executive to join our close-knit team.
Harringtons Lettings is an established independent letting agency with 29 years' experience in the industry. We manage a substantial portfolio of residential and commercial properties throughout Brighton & Hove and the wider Sussex area, and pride ourselves on our knowledge, experience and high standards of customer service.
This is a busy and varied role combining lettings negotiation, applicant management, property marketing, viewings, social media and administration.
A significant part of the position involves communicating with prospective tenants, landlords and existing clients by telephone and email. You will be expected to make a high volume of proactive calls each day, so an excellent and professional telephone manner is essential.
As part of the lettings team, you will help prospective tenants find the right property while supporting landlords throughout the letting process, from initial marketing and viewings through to negotiation, tenancy progression and move-in.
We are a friendly, efficient and highly organised office. The successful candidate will therefore need to be motivated, proactive and capable of managing a varied workload in a fast-paced environment.
Key Responsibilities
Lettings & Applicant Management
- Register prospective tenants and accurately record their requirements.
- Proactively make calls to applicants and match them with suitable available properties.
- Respond promptly to telephone, email and online property enquiries.
- Book and confirm property viewings.
- Carry out accompanied property viewings with prospective tenants.
- Arrange and provide access for viewings where required.
- Follow up with applicants following viewings and proactively chase prospective tenants.
- Negotiate offers between applicants and landlords.
- Keep landlords informed and up to date throughout the letting process.
- Send relevant reservation and administration forms to applicants.
- Complete Reservation Fee Forms accurately and promptly.
- Deal with guarantor enquiries and assist applicants with the relevant process.
- Send review requests to tenants and applicants where appropriate.
- Maintain a high standard of customer service at every stage of the applicant journey.
Property Marketing
A significant part of this position involves ensuring Harringtons' available properties are marketed professionally, accurately and consistently.
Responsibilities will include:
- Taking high-quality marketing photographs of properties.
- Editing and enhancing property photographs using ChatGPT and other appropriate tools, while ensuring images remain accurate representations of the properties.
- Writing clear, engaging and professional property advertisements.
- Optimising property adverts for SEO and online visibility.
- Preparing properties to be launched onto the market.
- Uploading and managing listings across Rightmove, Zoopla, OnTheMarket and the Harringtons website.
- Checking the back end of property portals to ensure properties have been listed correctly and information is accurate.
- Regularly refreshing property adverts through the portal back ends to maintain visibility.
- Preparing property brochures and window cards.
- Organising and managing property boards where required.
- Recording and preparing property marketing videos.
- Uploading property videos to YouTube.
- Matching available properties to suitable applicants.
Social Media & Content Marketing
The successful candidate should be comfortable contributing to the company's digital marketing and social media presence.
Duties will include:
- Creating content for Instagram.
- Creating content for Facebook.
- Monitoring and responding appropriately to Facebook comments and enquiries.
- Creating engaging property-related and company marketing content.
- Writing articles and other relevant content for Harringtons.
- Assisting with email marketing campaigns through Mailchimp.
- Ensuring relevant applicants held within Reapit are correctly added to Mailchimp in accordance with company processes and applicable data protection requirements.
- Helping maintain a consistent and professional Harringtons brand across online marketing channels.
Viewings & Property Visits
In addition to accompanied viewings, you may be required to:
- Carry out property inventories.
- Carry out check-outs.
- Carry out routine property inspections.
- Take marketing photographs and videos during property visits.
- Identify maintenance issues during viewings and property visits.
- Prepare clear maintenance lists for the administration team.
- Report maintenance issues identified during viewings promptly to the relevant member of the administration team.
- Assist with property access where required.
Tenancy Progression & Administration
You will work closely with the administration team to help ensure agreed tenancies progress efficiently.
Responsibilities may include:
- Chasing outstanding documents through DocuSign.
- Monitoring and chasing the return of property keys.
- Dealing with applicant and guarantor queries.
- Chasing UniHomes sign-ups.
- Completing UniHomes sign-up forms.
- Completing Reservation Fee Forms and other relevant documentation.
- Supporting the progression of agreed tenancies through to move-in.
- Keeping applicant and property records accurate and up to date.
- Providing administrative support to other departments when required.
As Harringtons is a close-knit team, flexibility is important. You may occasionally be required to assist with other administrative or operational duties to help the office run efficiently.
Suitable Candidates
The successful applicant will:
- Hold a full UK driving licence and be confident driving as part of their role.
- Have a minimum of one year's experience in a similar lettings role.
- Have a strong work ethic and be comfortable working under pressure in a busy, fast-paced office.
- Be self-motivated and able to work proactively without constant supervision.
- Be organised, punctual and reliable.
- Have excellent written and verbal communication skills.
- Have an excellent and professional telephone manner.
- Be confident making a high volume of outbound calls to applicants and clients.
- Be comfortable conducting property viewings and communicating directly with landlords and prospective tenants.
- Be flexible and willing to assist different departments when required.
- Have good attention to detail, particularly when preparing property listings and documentation.
- Be competent and confident with social media and digital marketing.
- Be comfortable using technology and AI tools as part of property marketing and day-to-day operations.
- Understand the importance of delivering consistently high levels of customer service.
Experience using Reapit, CFP, DocuSign, DPS, Mailchimp, Microsoft Outlook, Excel and Word would be advantageous, although experience with every system is not essential.
Experience
Required:
- Minimum 1 year's experience within lettings or a similar property role.
- Full UK driving licence.
- Strong telephone and customer service skills.
- Confidence using social media for business and marketing purposes.
Preferred:
- Experience with Reapit, CFP, DocuSign, DPS and Mailchimp.
- Experience managing listings on Rightmove, Zoopla and OnTheMarket.
- Property photography and marketing experience.
- Experience writing property advertisements and online content.
Hours & Salary
Job Type: Full-time
Salary: £28,500 per annum
Hours: 8:30am – 6:00pm, Monday to Friday
Weekends: No weekends
Work Location: In person
Please note that a company car is not supplied with this position. A pool car is available for business use during office hours.
