Job Purpose:
As an Administration Assistant you will be responsible for undertaking administrative tasks across all departments as needed. You will be responding to front line emails, queries and administrative tasks.
In this role, your primary areas of responsibility will be:
· Assist with the day-to-day running of the office including all facilities & premises related matters;
· Provide administrative support across the different Business Services functions and other areas of the company as required. To include inputting and extracting information from databases;
· Provide administrative support in relation to recruitment and onboarding of new employees;
· To collate stationary requests for the Business Support team, ensure that stationary ordered is not surplus to requirements;
· Respond to all incoming calls and e-mails from generic inboxes;
· Respond to visitors to LPW House, this includes taking deliveries and preparing the office for external use;
· Prepare agendas, take notes and distribute them to attendees for LPW meetings, including the Board meetings, and any other meetings that are required;
· To assist with updating LPW website;
· Record all sickness daily onto in-house systems. If required, communicate with key stakeholders when colleagues are absent;
· Distribute incoming post to relevant employees/departments;
· To archive CYPS documents as needed;
· Create and maintain security procedures for ID badges for all LPW colleagues
· To carry out the responsibilities of the role in a way which reflects LPW's commitment to safeguarding children in accordance with the Child Protection Policy;
· Support the CYPS first aid colleagues by ordering supplies they request for first aid kits;
· Any other duties that may be required from time to time.
Your Skills, Knowledge, Experience:
· At least one year’s experience working in a similar role;
· Be able to multi-task, prioritise conflicting work tasks, and perform well under pressure;
· Possess an ability to take responsibility for, and organise a varied workload effectively;
· Has undertaken tasks for multiple stakeholders across different departments;
· An ability to communicate effectively with internal and external stakeholders;
· Experience answering inbound telephone calls, greeting visitors and responding to incoming emails;
· Able to use Microsoft Word and Excel to at least an intermediate level;
· Able to plan for at least a month ahead;
· Willingness to learn how to input into, and extract information from, internally used data systems;
· Willingness to take ownership and take personal accountability for quality of work.

· Safeguard and promote the welfare of children and young people;
· Maintain a strong working relationship with other relevant departments
· Any other duties that may be required from time to time.
