Your Role

At Rygor Group, we are looking for a proactive and engaged Warranty Administrator who can provide essential administrative support to the Warranty Department to help us continue to be a UK Best Workplace. We are looking for an individual who is passionate about delivering exceptional customer service through a highly organised approach to administration. You will approach this role with a commercial mindset and will work effectively with all stakeholders to ensure smooth and efficient processes are in place and maintained.

️Experience and Behaviours Required

Warranty Administration: Previous experience in a Warranty Administrator or similar service administration role within a main dealer environment would be advantageous.

Organisation: Able to manage multiple tasks, prioritise workload and maintain efficient administrative systems.

Communication: Strong written and verbal communication skills, with a professional approach when dealing with customers, suppliers and colleagues.

Resilience: Remains calm, focused and solution-led when working to deadlines or managing competing priorities.

Attention to Detail: Highly accurate when processing claims, entering data, preparing documentation and checking invoices.

Teamwork: Works collaboratively with colleagues and contributes positively to the smooth running of the Service Department.
Key Responsibilities

Champion business initiatives and uphold the company values of being Rewarding, Reliable and Respectful.

Process retail, warranty and service contract invoicing accurately and within agreed timescales.

Prepare, submit and monitor warranty claims in line with manufacturer and company procedures.

Check warranty documentation, repair orders and supporting evidence to ensure claims are complete and compliant.

Resolve invoice and warranty queries with suppliers, manufacturers and internal teams.

Assist with preparing and sending quotations for work required on customer vehicles.

Follow up outstanding purchase orders to ensure supplier invoices and associated work are approved promptly.

Provide general administrative support to the Service Department, including post distribution, stationery and day-to-day office tasks.

Act as a professional point of contact for general customer enquiries.

Maintain accurate records and ensure documentation is organised, complete and readily accessible for audit purposes.
️Skills and Knowledge

Good administrative skills and the ability to work accurately in a process-driven environment.

Competent IT skills, including Microsoft Office and relevant dealership/service management systems.

Understanding of service department processes, warranty claims and invoice administration.

Ability to work to deadlines, manage priorities and follow established procedures.

Professional telephone manner and customer-focused approach.
