Full job description

Customer Services Administrator

Reporting to: Senior Customer Service Officer

Purpose:

As a Customer Services Administrator, you will play a key role in providing excellent customer service to our clients by managing customer enquiries, processing returns and customer credits and supporting the day-to-day administrative functions of the customer service department. You will ensure that all customer interactions are handled professionally and efficiently, maintaining strong relationships and high levels of satisfaction.

Responsibilities:

Customer Enquiries:

· Respond to customer queries via phone and email in a timely and professional manner.

· Proactively investigate customer enquiries, document all facts and liaise with the Customer Services Manager to agree resolution.

· Provide relevant information to customers, order status updates, and resolve any customer issues or complaints.

· Liaise with other departments (e.g., production, transport, sales) to ensure that customer requirements are met.

· Process order returns and customer credits in accordance with company policies.

· Build and maintain strong working relationships with key customers.

· Follow up on customer feedback to improve service delivery.

· Documentation & Reporting:

· Maintain detailed and accurate records of customer queries on the NCR log and in the SAGE system.

· Assist with reporting, KPI preparation, and provide admin support across departments.

· Team Support & Collaboration:

· Provide administrative support to the Customer Services Manager and contribute to team projects.

· Build and maintain strong working relationships with Thomas Panels and Profiles colleagues across all departments.

· Attend and participate in meetings, offering suggestions to improve processes and customer service.

This is not an exhaustive list, and you will be asked to do other tasks which are not listed here depending on departmental needs.

Personal requirements:

Experience:

· Previous experience in a customer service or administrative role, preferably within a manufacturing or industrial setting

· Experience using ERP systems (e.g., SAGE, SAP, Oracle) and proficiency in Microsoft Office applications (Excel, Word, Outlook).

Skills & Competencies:

· Excellent verbal and written communication skills.

· Strong organisational and time management abilities, with the ability to multitask and prioritise workloads.

· Ability to work well under pressure and meet deadlines.

· A proactive approach to problem-solving and a customer-first mindset.

· Attention to detail and a high level of accuracy in administrative tasks.

Desirable Attributes:

· Familiarity with manufacturing processes or supply chain operations.

· A positive, can-do attitude and the ability to work both independently and as part of a team.

Terms of Employment:

Hours: Monday to Thursday from 8am to 5pm with 1 hour for lunch, and Friday 8am to 4pm with a 30-minute lunch mutually arranged with colleagues to ensure the office is adequately manned.

Location: This role is based at our production site in Leominster, Herefordshire.

Pay: £ 26,500 to £27,500 per annum

Holiday: Our holiday calendar runs run from January to December and we offer a starting entitlement of 23 days plus national bank holidays. If you start work part way through the company’s leave year, the initial holiday entitlement is based on the period from that date until the leave year ends.

Health care scheme: We provide a primary health care scheme - all employees are invited to join following successful probationary period.

Pay: £26,500.00-£27,500.00 per year
