We’re looking for a high-calibre, operationally-minded Project Coordinator to take ownership of our project delivery and resource scheduling.
The role
This is a pivotal position within the agency. You will be the central point of coordination for our studio, responsible for managing the end-to-end delivery of web and design projects. Working closely with the Head of Business Development and Creative and Technical directors, you will manage agency resource allocation and project budgets.
You will act as the daily lead for designers and developers, ensuring they have the information needed to succeed, and liaise with our Print Manager to deliver integrated projects with precision across all media.
Having an organised and analytical mind is essential for navigating workflows and proactively addressing delivery challenges. Excellent communication skills are crucial so that both internal teams and clients are aligned on progress and milestones. You must be comfortable managing time, prioritising tasks, and ensuring projects stay on track.
Key responsibilities
Resource & Studio Management:
- Manage the studio schedule for web and design teams, ensuring optimal efficiency and clear task prioritisation.
- Act as the primary point of coordination for internal resources, resolving scheduling conflicts and removing blockers.
- Maintain a “well-oiled” internal workflow, ensuring all departments have the assets they need to deliver.
Project Leadership & Delivery:
- Own the delivery of digital and design projects from initial briefing through to launch and user acceptance testing.
- Liaise with the Print Manager to coordinate design-to-print workflows, ensuring specifications and deadlines are met across all media.
- Oversee the execution of integrated projects, ensuring precision and quality control across every deliverable.
Financial & Budgetary Oversight:
- Work with the Head of Business Development to monitor project budgets and track time usage.
- Manage resource costs and ensure projects remain within scope and financially viable.
- Provide regular status updates on project health, timelines, and resource allocation.
- Assist with the agency's monthly invoicing.
Collaboration & Communication:
- Facilitate clear, effective communication among creative, technical, and management teams.
- Uphold eighteen73’s standards by managing the internal review process for all deliverables, sharing progress and garnering feedback from key stakeholders.
- Participate in resource planning sessions and offer insights on team capacity and upcoming project requirements.
Skills & Experience
- 3+ years of experience in project coordination or traffic management, preferably in a creative or technical agency.
- Proven track record of scheduling and managing the daily output of a multidisciplinary team.
- Proficiency in tracking project budgets and managing resource costs.
- Exceptional organisational skills with the ability to manage technical workflows independently.
- Direct and professional communication skills, with the ability to bridge the gap between business strategy and creative execution.
- Proficiency in project management tools (e.g., Productive, Asana) and Google Workspace.
