Job Summary
We are seeking an organised and detail-oriented Accounts Administrator / ISO 9001 Administrator to manage daily office operations and maintain our ISO 9001 Quality Management System (QMS). In this dual role, you will split your time between general clerical tasks and technical compliance duties. You will be responsible for maintaining accurate financial records, managing accounts payable and receivable, and processing invoices. The ideal candidate will have a strong foundation in bookkeeping, excellent numerical skills, and experience with accounting software. Ultimately, your work will ensure our financial operations run smoothly, accurately, and in compliance with legal standards, while keeping our business fully compliant with national quality standards, coordinating internal audits, and tracking corrective actions.
General Administration
- Invoicing & Billing: Prepare, send, and securely store customer invoices and receipts.
- Accounts Payable: Process supplier invoices, verify them against purchase orders, and schedule timely payments.
- Accounts Receivable: Track customer payments, send balance reminders, and conduct credit control activities to reduce overdue debt.
- Data Entry: Update internal accounting databases, spreadsheets, and journals with daily financial transactions.
- Query Resolution: Act as the primary point of contact for clients and vendors regarding billing discrepancies or payment statuses.
- Compliance Support: Help prepare tax filings, VAT returns, or basic payroll documentation where required.
9001 & Quality Compliance
- Document Control: Format, update, and distribute official QMS procedures, policies, and process maps.
- Audit Coordination: Schedule and prepare paperwork for internal audits and external registrar assessments.
- Corrective Actions: Track non-conformances and log progress on corrective and preventive action plans.
- Management Reviews: Gather data, track Key Performance Indicators (KPIs), and prepare reports for senior management reviews.
- Staff Awareness: Help communicate quality goals and customer requirements to team members.
Pay: £14.00-£17.00 per hour
