The Role
We are seeking an experienced, organised and proactive Office Manager to oversee the day-to-day running of our office operations and lead the administrative support function of the business.
This is a key leadership position within Pure Service Cambridge Ltd, responsible for ensuring the office operates efficiently, maintaining high levels of customer service and supporting the successful delivery of services across all business divisions.
The Office Manager will have direct line management responsibility for the Service Coordinators and will work closely with the Directors to ensure the business remains organised, responsive and customer focused.
This role is ideal for someone confident in leading people, improving processes and taking ownership of a busy operational office environment within a fast-paced service business.
Key Responsibilities
Office Management
- Take overall responsibility for the day-to-day running and organisation of the office.
- Ensure efficient administrative processes, communication flows and office systems.
- Maintain a well-organised, professional and efficient working environment.
- Support Directors with administrative tasks, reporting and business coordination.
- Continuously review and improve office systems and processes.
Team Leadership & Management
- Provide direct line management to Service Coordinators.
- Manage workloads to ensure jobs, enquiries and administration are handled efficiently.
- Monitor performance, productivity and service standards.
- Conduct team meetings, one-to-ones and ongoing support.
- Support recruitment, onboarding and development of office staff, including disciplinary, grievances and mediation inline with company policy
- Promote a positive, accountable and customer-focused team culture.
Customer Service & Operational Support
- Ensure high levels of customer service across all client interactions.
- Support the Service Coordination team during busy periods by handling incoming calls and enquiries.
- Act as an escalation point for customer issues and complaints.
- Ensure enquiries are handled promptly and directed to the correct teams.
Administration & Compliance
- Maintain accurate company records, documentation and filing systems.
- Support compliance administration including training records, certifications and accreditations.
- Assist with audit preparation and business reporting requirements.
- Ensure all documentation is accurate, up to date and compliant with company procedures.
- Support fleet perations, including service and maintenance.
Finance & Supplier Support
- Assist with purchase orders and supplier invoice processing.
- Support account queries and supplier communication.
- Maintain accurate financial and operational records.
- Assist with procurement administration where required.
Essential Requirements
- Previous experience as an Office Manager or Senior Administrator in a busy environment.
- Experience managing or supervising administrative or coordination teams.
- Strong organisational and time management skills.
- Excellent communication and leadership ability.
- Strong customer service background.
- High attention to detail and accuracy.
- Confident using Microsoft Office (Word, Excel, Outlook, Teams).
- Ability to manage competing priorities in a fast-paced environment.
Desirable Requirements
- Experience within Facilities Management, Property Services, Construction, Engineering or Maintenance sectors.
- Experience supporting operational or field-based teams.
- Knowledge of compliance administration and business systems.
- Experience working within a growing SME environment.
- Maintain service levels during peak workloads and staff absence.
