Business Administrator for Farm & Private Estate
Location: Castletown Estate, Rockcliffe
Position Type: 3-5 Days a Week. Flexible working arrangements possible
Reporting to: Estate Owner
About the Role
We are seeking a highly organised and proactive Business Administrator to support the day-to-day operations of a busy farm and estate office based near Rockcliffe, Carlisle. This is a varied and hands-on role that combines administration, property management support, contractor coordination, and general estate administration.
The successful candidate will be adaptable, professional, and capable of managing a wide range of responsibilities while supporting the wider estate and farm team. We do not need the candidate to know all of the above or have experience in them, but would like someone we can work with to help run the business.
Key Responsibilities
Office :
· Manage the day-to-day running and organisation of the estate office.
- Answer and manage inbound calls/ email and other enquires.
- Liaise with external service providers and utility companies as required.
- Coordinate equipment and maintenance-related purchases and hire requirements.
- Manage contractor sign-in and sign-out procedures and maintain accurate records.
- Manage filing systems and ensure documentation is maintained accurately and securely.
- Input and maintain staff holiday records and absence information.
- Manage and administer actions from monthly farm team meetings, be part of the weekly team meeting bringing organization and support to the wider business to hit business objectives in week/ month/ year.
- Provide administrative and practical support to estate and farm team members as needed.
- Assist with organising team events, community activities, and staff initiatives.
Property Administration
- Act as a key point of contact for residential tenants.
- Coordinate and communicate with contractors regarding property repairs and maintenance.
- Arrange and schedule contractors to resolve property-related issues.
- Advertise available properties through online platforms or with local Agents.
- Manage property enquiries and communicate with prospective tenants.
- Organise and conduct property viewings.
- Prepare and manage tenancy documentation for new tenants.
- Complete property inventories and associated tenancy records.
