Office & Customer Service Administrator

Part-time with the opportunity to increase to full-time hours

About Van Glass Ltd

Van Glass Ltd is a family-run business based in Carlisle, supplying aftermarket van windows throughout the UK and installing them at our depot.

As we continue to develop the business and prepare to launch our new online store, we are looking to expand our small team. We’re looking for a friendly, organised and reliable person who will take pride in their work, provide excellent customer service and be happy to help across different areas of the business.

As a family-run business, finding the right person is extremely important to us. This will initially be a part-time position, with the opportunity to increase to full-time hours if desired. We are looking for someone who can join our growing team within the next few months, ideally by November or early December 2026.

The role

This is a varied office-based role covering customer service, order processing and general administration. There may also be an opportunity to help with our social media content and online marketing.

Your main responsibilities will include:

Answering telephone, email and social media enquiries
Taking customer orders and payments
Preparing quotations and processing orders
Organising deliveries, collections and pallet shipments
Tracking orders and helping customers with delivery enquiries
Managing the fitting diary and organising work schedules
Contacting customers with updates about their orders
Carrying out general administration, data entry and record keeping
Assisting with basic bookkeeping tasks using Sage
Supporting other members of our small team when needed
Helping to maintain accurate product and customer information

Depending on your experience and interests, the role may also include:

Creating simple content for Facebook, Instagram and TikTok
Taking photographs and videos of products and completed installations
Helping to plan and schedule social media posts
Supporting the launch and ongoing management of our new online store
Assisting with basic marketing campaigns and promotional content

Marketing or social media experience would be helpful, but it is not essential. We are more interested in finding someone enthusiastic, creative and willing to learn.

About you

We are looking for someone who:

Is friendly, approachable and confident speaking to customers
Has previous office, administration or customer service experience
Is organised and able to manage several tasks at once
Has excellent attention to detail
Communicates clearly and professionally by telephone and email
Is comfortable using computers and Microsoft Office
Is reliable, proactive and willing to help as part of a small team
Can work independently and use their own initiative
Is interested in social media and content creation

Experience using Sage, Shopify, Canva or business social media accounts would be an advantage, but training can be provided.

Hours and benefits

Permanent, part-time position
Hours to be agreed with the successful applicant
Monday to Friday during our usual business hours
Opportunity to increase to full-time hours
Pay to be discussed and agreed depending on experience and responsibilities
