Transport Logistics Coordinator
Overview
We are seeking a proactive and highly organised Logistics Coordinator to support the day-to-day operations of a busy transport, storage, and commercial removals company based in Belfast. We are a well-established, locally owned independent business with a strong reputation across transport, storage, and commercial removals, offering a supportive and collaborative working environment.
This is a varied and fast-paced role, ideally suited to someone with experience in administration, schedule planning, team coordination, invoicing, logistics operations, and compliance support. The successful candidate will thrive in a dynamic working environment, confidently managing multiple priorities while playing a key role in ensuring the smooth and efficient running of daily operations.
Working closely with management, the primary focus of the role will be coordinating operational teams, administering job completion paperwork and invoicing, and supporting the smooth running of the office. Additional responsibilities will include assisting with transport planning, compliance processes, and logistics coordination as required.
Key Responsibilities
Transport & Logistics Coordination
Ø Support the planning, scheduling, and coordination of daily transport and removals operations.
Ø Maintain accurate transport records, documentation, and operational systems.
Ø Liaise with drivers, customers, depots, and internal teams to ensure the smooth delivery of services.
Ø Assist with vehicle tracking, route planning, and crew scheduling to support operational efficiency.
Compliance Support
Ø Support fleet compliance, driver hours administration, and associated record-keeping.
Ø Assist in maintaining compliance across transport operations, including fleet servicing schedules and fuel card administration.
Ø Prepare and distribute job information, schedules, and documentation to operational teams, ensuring company systems and records remain up to date.
Administration & Financial Duties
Ø Support invoicing and financial administration activities.
Ø Provide administrative support to the General Manager and Accounts Manager, including correspondence and document management.
Ø Maintain accurate records to support financial reporting and wider operational administration.
Ø Assist with customer communications, operational queries, and the resolution of day-to-day issues.
Ø Gather customer feedback and support the continuous improvement of service delivery.
Candidate Requirements – Essential Criteria
The ideal candidate will have:
Ø Previous experience within an office environment and general administration.
Ø Experience with invoicing, financial administration, and maintaining accurate records.
Ø Experience managing schedules and allocating work to operational teams.
Ø Excellent organisational skills, with the ability to prioritise tasks, manage multiple responsibilities, and work independently.
Ø Strong financial administration skills and an understanding of business processes.
Ø Confidence working within a busy, fast-paced environment.
Ø Adaptable, with a willingness to learn new systems, processes, and skills.
Desirable Criteria
Ø Previous experience in transport logistics, customs administration, or operations support.
Ø Knowledge of customs procedures, import/export processes, and transit movements.
Ø Strong geographical knowledge of Northern Ireland, the Republic of Ireland, and transport networks.
Ø Experience with transport compliance and regulatory requirements would be advantageous but is not essential.
