Full job description

Legal Secretary

Hay & Kilner is a busy, full-service law firm located in the heart of Newcastle city centre, and we are currently growing our Legal Secretarial team. We provide a comprehensive service across a broad range of practice areas to meet all our clients’ legal needs.

We are seeking an experienced Legal Secretary to join our prestigious, brand-new Newcastle city centre office within the Clinical Negligence team. Prior experience in a secretarial position within a law firm is required. Experience in Clinical Negligence is advantageous, though not essential. Part-time and full-time applicants will be considered.

Successful candidates will report to the relevant Head of Department and will be responsible for:

Audio and copy typing for their department
Managing digital dictation and document formatting
Ensuring documents are correctly filed, both electronically and in hard copy
Engaging directly with the firm’s clients and supporting the team by welcoming new clients
Drafting court forms
Copying and preparing documents for disclosure and despatch
Scheduling appointments, arranging meetings, and maintaining diaries
Arranging conferences with experts and Counsel
Assisting with preparation of Court Bundles, both digitally and in hard copy
Downloading and uploading electronic medical records and radiology
Providing excellent support and assistance to Lawyers

The following skills and experience are relevant:

Strong typing speed and accuracy
Proficiency with word processing systems
Familiarity with Excel spreadsheets
Experience working independently and collaboratively as part of a team
Excellent organisational and communication skills
Understanding of legal terminology
Ability to navigate online platforms
Knowledge and experience of Court Forms and preparing drafts
