Clinic Admin / Receptionist, progressing to Clinic Coordinator

Hours: 12-15- Mon/Wed/Fri 2pm-6pm
This role will suit someone looking for long term part time work in the afternoons.
Aspire Health Group is a private, evidence-based healthcare clinic. We are looking for a reliable, organised, and proactive individual to manage front-of-house and support the day-to-day running of the clinic.
This is a key role within the business. You will be the first point of contact for patients and responsible for ensuring the clinic runs smoothly, professionally, and efficiently during your working hours.
This is not a passive reception role — it requires someone confident, organised, and comfortable taking responsibility.
KEY RESPONSIBILITIES
Front of House
- Welcoming and checking in patients in a professional manner
- Acting as the first point of contact for all patient enquiries
- Maintaining a calm, organised reception environment
Bookings & Diary Management
- Managing the clinic diary using Cliniko
- Booking, rearranging, and cancelling appointments
- Ensuring clinician diaries are organised and optimised
- Filling gaps in the diary where possible
Communication
- Answering phone calls promptly and professionally
- Managing clinic email enquiries
- Responding to patients clearly and efficiently
- Liaising with clinicians when required
Payments & Admin
- Taking payments and ensuring all sessions are correctly billed
- Managing receipts and basic financial tracking
- Supporting insurance/admin processes where required
- Keeping patient records accurate and up to date
Clinic Operations
- Supporting the smooth day-to-day running of the clinic
- Ensuring rooms and front-of-house areas remain clean and presentable
- Identifying and resolving issues proactively
- Completing end-of-day checks and ensuring the clinic is reset for the next day
Qualifications
- Proven office experience or administrative experience in a similar role
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with simple accounting software is desirable
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy for data entry tasks
- Demonstrated ability to communicate professionally via phone and email
- Familiarity with clerical procedures and office management systems
- Ability to work independently as well as part of a team in a fast-paced environment

Pay: £13.00-£15.00 per hour
