Job Introduction
Pinnacle Group is looking for a highly organised and experienced Maintenance Coordinator to join our team as the first point of contact for all helpdesk enquiries. In this role, you will be responsible for managing the day-to-day administrative functions of the contract office, ensuring that all reported jobs are allocated, tracked, and resolved efficiently. You will play a crucial role in maintaining excellent communication between clients, contractors, and internal teams to guarantee smooth operations and timely job completion.
You will be joining our Total FM team based in Clacton-on-Sea. The Total FM team provides integrated asset management and maintenance services across the education, leisure, corporate, health and living sectors to ensure facilities operate at their best.
The ideal candidate will bring administration experience within a Facilities Management or similar environment, demonstrating strong computer literacy, excellent interpersonal skills and the ability to work proactively under their own initiative.

Key responsibilities:

Provide administrative assistance to service engineers

Maintaining engineers’ diaries and arranging service visits with customers

Dealing with general enquiries and logging PPM & reactive calls

Writing and sending service reports to customers
-
Preparing remedial quotations to send to customers

Sending invoice requests to Finance
-
Keeping SharePoint up to date with reports and site information
-
Producing monthly reports
-
Other duties as required to support the helpdesk
Key requirements:

Previous experience in an administrative or coordination role

Strong organisational skills and attention to detail

Excellent communication and customer service skills

Conversant working knowledge of Microsoft Office, including Outlook, Word and Excel

Proactive, reliable and able to work independently as well as part of a team
