About the Role
We are seeking motivated and reliable Business Administrator Apprentice to join our UK Network Control Centre (NCC) team. This is an exciting opportunity to gain hands-on experience in a fast‑paced logistics environment while working towards a nationally recognised apprenticeship qualification.
You will complete data entries, processes and generate documentation required for transfer of freight whilst adhering to compliant processes. Required to adhere to strict time deadlines, whilst maintaining a customer focussed outlook. Expect and respond positively to last minute changes.
Key Responsibilities ✈️

Learning to:
-
Cut Master Airwaybills, preparing paperwork for airlines and destinations for courier and freight flights.

Manifest flights, send data and other aspects of exports using the DHL systems and Excel.

Liaise with the warehouse and other departments to ensure strict flight cut off times are adhered to.

Process Air Cargo Sales (ACS) reports and admin tasks including updating and using TGV system.

Produce breakdown reports and complete admin tasks for ACS material arriving into LHR and alert Operations and customers so material can be processed and collected in a timely manner.

Follow up and update ACS handovers.

Compile and follow up on emails for build reports for Network flights.

Process Network flights to various destinations
- Process Trucks to various destination and create TAD documents where required.

Produce Transport Documents (TADs) for trucks on behalf of EMA as/when required.

Prepare flight sheet for the next day.

Check Commercial airline bookings (CAL) for alterations and notify Operations.

Complete Container transfers in Aviation Hub System (AHS).

Complete first and second leg post flight in a timely manner and update information in Commercial Air Management System (CALMS).
- Complete post flights and offload reports with correct Network Service Incident (NSI) check point scans.

Refer to the checkpoint reference guide. Choose the appropriate checkpoint

Support inbound co-ordinator with admin tasks e.g. generate collection notes and CNS entries, load data transmissions and send pre-alerts to airlines

Investigate trace requests and respond to emails.

Train and cover aspects of Air Ops and/or NCC Senior Agent role when support is required.

Compile, monitor and update Transfer Exemption Reports
- Support with Unique Loading Device (ULD) tasks, as required

Stakeholder Engagement

Provide information and liaise with Operations and Airside Operations teams

Provide information to airlines relating to weights and delivery times by phone and e-mail.
- Liaise with Carriers and Linehaul with any issues or continuing problems with airlines or origin / destination stations.

Communicate any missed connections or any ongoing issues / offloads to Senior Agents or Supervisors.

Regular contact with airlines / handlers by phone and e-mail to chase up delayed or offloaded material.
Compliance:

Complete paperwork / reports and retain copies for compliance audit purposes

Actively participate in daily performance dialogues and give feedback
Health, Safety & Compliance
- Work in line with all Health & Safety, security, and operational procedures.
- Wear appropriate Personal Protection Equipment (PPE) and follow safe manual handling techniques when in the warehouse.
- Report hazards, incidents, and near misses promptly.
- Comply with regulatory and company standards at all times.
Learning & Development
- Complete all elements of the apprenticeship programme, including off‑the‑job training and course work.

What We’re Looking For
Essential
- A positive attitude and willingness to learn.

- Physically able to undertake manual handling tasks, if required.
- Willingness to complete required security and background checks.
Desirable
- GCSEs (or equivalent such as Functional Skills) in English and Maths grade 4 +.
- Interest in logistics, operations, or aviation/transport environments.
- Good IT skills.
