Job Overview
You will provide excellent customer service and administrative support across all areas of in-life vehicle management. This includes handling maintenance queries, coordinating vehicle bookings and repairs, processing invoices, recalls and fines, and ensuring customers receive a smooth, efficient and professional service.
To act as the contact for Pay on Use maintenance clients, taking day-to-day responsibility for these clients and their vehicle fleets.
This includes managing suppliers, queries, coordinating bookings, authorising repairs, providing regular updates, overseeing general fleet administration and producing reports as/when required.
Main Duties
You will:
· Act as the main contact for allocated Pay on Use maintenance organisations, taking day-to-day responsibility for the effective administration and management of their fleets.
· Act as the first point of contact for all lease car drivers, clients and internal teams via telephone and email.
· Build and maintain positive working relationships with allocated Pay on Use maintenance suppliers and our clients, ensuring they receive regular updates and a consistently high level of service.
· Coordinate vehicle bookings, maintenance and repairs and provide clients and drivers with appropriate progress updates.
· Handle general enquiries, maintenance issues and complaints, resolving matters where possible or referring them to the appropriate department when required.
· Liaise with lease companies, garages, manufacturers, suppliers and clients to resolve vehicle-related queries, disputes and operational issues.
· Undertake invoice management and processing where applicable across the department.
· Support customers with vehicle, fuel card, PCN, fine and invoice-related queries.
· Maintain accurate and up-to-date vehicle, driver and customer records within our system
· Monitor allocated Pay on Use fleets and identify outstanding actions or issues requiring follow-up.
· Produce and provide client and fleet reports when required.
· Provide general administrative support to the wider Customer Services team, including record keeping and ad-hoc reporting.
· Prepare and submit regular operational and client reports where applicable
· Work closely with colleagues to ensure customer queries and fleet issues are progressed efficiently and communicated effectively
Undertake any other reasonable duties appropriate to the role and Salary Band.

In addition to your salary, you will qualify for the Employee Ownership Trust (EOT) bonus (after completion of 12 months’ continuous service)
Working hours are 8.30am - 5.30pm Monday to Thursday and 8.30am to 4.30pm on Fridays.
