Job vacancy: Events Co-ordinator & Deputy General Manager

Reporting to: General Manager

The Events Co-ordinator role requires a high degree of organisation and strategic planning. The secondary consideration with this role is that of a Deputy GM; acting as a duty manager at all times, and stepping up to take overall responsibility in the absence of the GM.

The primary aspect of the role is to co-ordinate between the bar and kitchen, in concert with the requirements of the guest, to deliver events and experiences. Part of the role will be to organise and plan forward, with the other aspect being the delivery and execution. The role will require strong communication skills to bring together other managers and departments.

Core responsibilities:

To be an ambassador for the business and to understand all the rates, room charge hire, etc
To be imaginative and flexible in planning and delivery of guest expectations, but also to be able to manage those expectations so we can maximise other bookings
Maximise events bookings and take a pro-active approach to selling regular events
Attend weekly forecasting and budgeting meeting, and be ready to present the week’s functions. Liaise with bar and kitchen to ensure stock levels and equipment are in place. NM,.
Deputise in the absence of the GM, running shifts
Lead by example at all times in a pro-active manner, being positive and approachable but boundaried

Outline of key responsibilities (Events Co-ordinator):

To be an approachable and accessible first point of contact for all business enquiries
To be responsive in confirming tables as well as events
Initiate and then maintain, organisational systems relating to events bookings
To maximise venue capacity, taking into account existing bookings when adding new enquiries
To manage enquiries and follow up to sell/ upsell
Investigate a variety of sales channels that can bring value to the venue, including external events
Organise Christmas bookings and co-ordinate with bar and kitchen
Target key groups and accounts and sell room hire on a regular basis
Investigate local groups/societies/clubs such as lunch clubs, to market use of the venue
Prepare or assists in preparation of function sheets so each department has a clear understanding of booked events, and which aspects they are responsible for

Outline of key responsibilities (Deputy GM):

Maintain high standards for cleanliness, uniform, and general procedures
Be able to host when needed and be fully trained in running a food and bar section
Supervise open and closing procedures, cleaning rota, etc
Maintain P&L priorities, reducing the wage bill when possible and actively upselling

This role grants a certain amount of autonomy for the right candidate to be pro-active in helping to organise and codify the events program for the year.

Rate of pay: starting £14 per hour

Extra pay: Tips up to £2,000 per annum

Hours: Mininum 36 per week contract

Work pattern: Based over four to five days. Flexibilty to work over weekend and evening periods, is essential.

Pay: £14.00-£15.00 per hour
