Primary Role
Sterling is seeking an enthusiastic Project Coordinator to join our team as part of our continuing expansion. The ideal candidate will be customer-focused, organised, and able to handle multiple jobs simultaneously while maintaining a good understanding of the live event industry. This role is crucial in supporting our Project Managers and contributing to the successful delivery of our events. The successful candidate will thrive in a fast-paced, hands-on environment and work effectively under pressure. Key Roles & Responsibilities
Project Support
- Support Project Managers/Hire coordinators with the successful planning and delivery of events
- Coordinate multiple large- and small-scale projects and tasks, with competing priorities
- Book and manage crew, transport, and resources, including the creation of crew communication documents
- Assist in expanding our network of suppliers across the country
- Creating and raising of purchase orders for suppliers
- Commercial procurement and margin protection
- Assist with post-event reporting and evaluation.
- Reviewing purchase orders versus freelancer invoices
- Data analysis and entry into Current RMS to enable accurate profit and loss
- Manage supplier documentation and keep details up to date
- Liaise with venues and other third parties as required
- Prepare and manage health & safety documents and procedures
Freelance Resource Management
- Maintain and update the company's freelance database with accurate information
- Collect and process documentation from freelancers to ensure compliance
- Assist in expanding our network of freelancers across the country
- Support the implementation of quality control measures for freelancer selection
- Help evaluate and match freelancers to projects based on their skills, experience, and alignment with Sterling's values
- Generate reports on freelancer availability, utilisation, and performance
Additional Service Support
- Work collaboratively with other departments
- Help implement strategic crewing processes by:
- Preparing crew schedules and documentation
- Communicating with selected technicians
- Coordinating logistics for crew deployment
- Gathering feedback on crew performance
- Front desk/ reception cover
Qualifications and Key Attributes of the Candidate
- High self-motivation, with the ability to lead by example and work as part of a team
- Excellent communication skills
- Meticulous planning and attention to detail
- Commercial understanding
- Highly organized and proactive, with the ability to coordinate multiple projects and tasks simultaneously
- Strong IT skills
- Ability to thrive in a fast-paced environment and react quickly to tasks in an efficient way
- Keen eye for detail and high standards of presentation
- Experience in the events industry
- Full UK Driving Licence and own transport
- Good understanding of technical event production (advantage but not essential)
- Previous experience of Current RMS, Teamtrack and Fleetcheek (advantage but not essential)

Working Hours
If you have the experience we are looking for then you will already know that this is not a 9 ‘til 5 job. Due to the nature of our industry, we require our employees to have a flexible approach to their working hours. Weekend work may be required. However, our core hours are 08.30 - 17.30 Monday to Friday.
