Job Summary

We are seeking a dynamic and detail-oriented Works Coordinator & Accounts Assistant to join our team. This role combines essential coordination responsibilities with vital accounting support, ensuring smooth project execution and accurate financial management. You will be instrumental in managing work schedules, overseeing project logistics, and maintaining precise financial records. The ideal candidate is proactive, highly organized, and possesses a strong foundation in accounting software and data entry, contributing to the efficiency and success of our operations.

Duties

Coordinate daily work activities, schedules, and resource allocation for various projects and teams
Answering the phone and taking calls
Assist with accounts payable processes, including invoice processing and expense tracking
Maintain and update financial records using accounting software such as QuickBooks, Sage, Xero, or PeopleSoft
Support data entry tasks related to project management, procurement, and financial transactions
Monitor and reconcile accounts using systems like Workday or Xero to ensure accuracy and timeliness
Collaborate with the finance team to prepare reports on project costs and financial status
Manage documentation for project logistics, including delivery schedules, contractor coordination, and inventory tracking

Requirements

Proven experience with accounting software such as QuickBooks, Sage, Xero, or PeopleSoft
Familiarity with Workday or similar enterprise resource planning (ERP) systems
Strong skills in data entry with high accuracy and attention to detail
Knowledge of accounts payable processes and financial services industry standards
Experience working with various accounting platforms like Xero or Sage is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively
Ability to adapt quickly to new software tools and workflows
