Your Role
The Facilities Coordinator role is a multi-faceted role serving as a central point of facilities coordination and administrative support across Natures Menu. This position supports our operations site in Snetterton (where the role is based), as well as remote support for our managed office in London, and our three depots based in Leeds, Bristol and Glasgow. The role requires meticulous attention to detail, proactive problem-solving, and the ability to manage diverse responsibilities simultaneously.
What you will do
- Oversite of the daily needs and requirements of our sites; supporting the Senior Management Team by ensuring daily facilities are run smoothly.
- Support with the coordination of events; from booking large meetings to coordinating regular meetings.
- Manage the relationship with Working From – our London site shared office space. Managing invoices and membership.
- Management of office and sustenance supplies and equipment for our sites (tea, coffee, milk, stationary, water supply etc), ensuring consistent supply.
- Managing the office cleaning contracts, maintenance contracts and any other ad hoc third-party suppliers.
- Ordering hygiene and production tools and managing PPE stock that is out of the norm.
- Managing the preparations for visitors and events including meeting venues, catering, visitor PPE etc. To be managed in advance of need.
- Managing the First Aid supplies and ensuring a full stock of essential materials.
- Managing the incoming and outgoing post, including third party couriers and Royal Mail, as well as coordination of the franking machine.
- Administrative duties, including insurance and other legal and regulatory documentation.
- Managing the relationships with facilities suppliers including vending machines, Amazon, office supplies and other.
- Management of the excess stock process, coordinating distribution and ensuring fair and consistent management of the policy.
- Management of the General Services budget in relation to the Snetterton site and in conjunction with HR.
- Coordinating office moves or refurbishments, working with stakeholders to manage the smooth transition of office spaces within Snetterton, excluding any engineering or build requirements.
- Coordinating the trap-neuter-return program for the feral cat colony and coordinating food donations to charities until such time as there is no longer a need.
- Any other reasonable duties which may come up in line with the responsibilities outlines in this job description.
What we are looking for
- Exceptional organisational skills and proven ability to manage multiple complex tasks simultaneously.
- Meticulous attention to detail, particularly concerning official documentation and record keeping.
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) for documentation and data management.
- Collaborative and proactive communication style, capable of liaising with internal teams, Spanish colleagues, and external official bodies.

Hours: 24 hours per week – flexible
Salary: £15,900 (£26,500 FTE)
Pay: £26,500.00 per year
